Congratulations to the 2013 American Payroll Association Award Winners

The PeopleSoft Payroll for North America team would like to congratulate Hackensack University Medical Center, Capital One, and Gap Inc. for winning the 2013 American Payroll Association Prism Award.  Each year the American Payroll Association honors organizations based on best practice achievements in Technology, Management, Processes, Performance Study, and Overall Best Practices.  We have always known that our customers are best in class and are delighted to see that three out of the five recipients use our software.  The accomplishments they achieved and the savings they obtained are truly outstanding.  It thrills us even more they were able to accomplish these goals by utilizing other PeopleSoft products/features such as Time and Labor and our Self Service applications.  Check out their accomplishments and learn how they did it on Page 19-22 of the American Payroll Association PAYTECH Magazine.

Upgrading to 9.2 - Info You Can Use (part 2 - Get Hands On Experience)

Get Hands-On Experience With a an Easy to Install Demo Image

Once you have identified the features you believe can add value (see part 1 of this series here), we recommend that you use our Demo Images to quickly create a PeopleSoft environment where you can try out the new features. The Demo Images are virtual machines that run in VirtualBox.   They contain a fully functioning PeopleSoft environment, including the database, PeopleTools, and the application.  These images can be loaded onto nearly any sized machine that meets the specs outlined in the documentation, including a powerful desktop machine.     The image allows you to very quickly deploy a fully functioning PeopleSoft instance that you can use to explore new features and functions or run a conference room pilot.

To take advantage these Demo Images:

  1. Go to the Demo Images Home Page (Doc id 1552548.1) on My Oracle Support.
  2. Use the " Demo Image Quick Start Guide" and additional documentation links on that page to download and install your desired Demo Image.
  3. When installed, use the Demo Image to explore the desired features and capabilities.

Important Notes:

- It is not required to use the Demo Images to evaluate features and functions – any 9.2 instance will support this. We recommend use of the Demo Images because the setup and configuration is dramatically faster than doing a traditional PeopleSoft install.

- For those looking to explore new features and capabilities on PeopleSoft 9.1 releases, we have provided virtual machine images using the Oracle Virtual Machine technology. Details and links are available in Oracle’s PeopleSoft Virtualization Products page (Doc id 1538142.1).

Upgrading to 9.2 - Info You Can Use (part 1)

Find Features & Capabilities

There are many ways that you might learn about new features and capabilities within our releases, but if you aren’t sure where to start or how best to go about it, we recommend:

  1. Go to www.peoplesoftinfo.com
  2. Select the product line you are interested in, and go to the ‘Release Content’ tab
  3. Use the Video Feature Overviews (VFOs) on YouTube and the Cumulative Feature Overview (CFO) tool to find features and functions.
    1. The VFOs are brief recordings that summarize some of our most popular capabilities. These recordings are great tools for learning about new features, or helping others to visualize the value they can bring to your organization. The VFOs focus on some of our highest value and most compelling new capabilities. We also provide summarized ‘Why Upgrade to 9.2’ VFOs for HCM, Financials, and Supply Chain.
    2. The CFO is a spreadsheet based tool that allows you to select the release you are currently on, and compare it to the new release. It will return the list of all new features and capabilities, by product. You can browse the full list and / or highlight areas that look particularly interesting.
  4. Once you have a list of features by product, use the Release Value Proposition, Pre-Release Notes, and the Release Notes documents to get more details on and supporting value statements about why those features will be helpful.
  5. Gather additional data and supporting information, including:
    1. Go to the Product Data Sheets tab, and review the respective data sheets. These summarize the capabilities in the product, and provide succinct value statements for the product and capabilities.
    2. The PeopleSoft 9.2 Upgrade page, which has many helpful resources.

Important Notes:

  -  We recommend that you go through the above steps for the application areas of interest, as well as for PeopleTools. There are many areas in PeopleTools 8.53 and the 9.2 application releases that combine technical and functional capabilities to deliver transformative value.

   - We also recommend that you review the Portal Solutions content. With your license to PeopleSoft applications, you have access to many of the most powerful capabilities within the Interaction Hub.

   -  If you have recently upgraded to PeopleSoft 9.1, and an immediate upgrade to 9.2 is simply not realistic, you can apply the same approaches described here to find untapped capabilities in your current products. Many of the features in 9.2 were delivered first in our 9.1 Feature Packs. To find the Release Value Proposition, Pre-Release Notes, and Release Notes for these releases, search on ‘PeopleSoft 9.1 Documentation Home Page’ on My Oracle Support, and select your desired product area.

PeopleSoft Services Procurement Highlighted by Leading Industry Analyst

PeopleSoft Services Procurement, part of the PeopleSoft Supplier Relationship Management (SRM) 9.2 suite of applications, was the subject of a positive article written by Jason Busch of the leading industry analyst firm Spend Matters.

The article highlighted new functionality in PeopleSoft Services Procurement, as well as the value of exploiting the integration advantages of a unified solution across all aspects of the business. For example, enhanced 9.2 integrations enable PeopleSoft Resource Management and Services Procurement to streamline the shifting of a search from internal to external resources, enabling organizations to accelerate the deployment of the best mix of resources (internal and subcontractor) on a project.

In addition, new inbound timesheet integration from external suppliers (via web services) eliminates the need for time sheet entry in two separate systems (customer and service provider). This can reduce the time to approve and settle.

By managing the entire outsourced services process from request through settlement, PeopleSoft Services Procurement enables organizations to lower service costs and collaborate with suppliers, thus helping to balance global workforce needs and contingent labor spend.

Announcing PeopleSoft HTML Email Approvals for HCM

As part of our ongoing commitment to provide enhancements for customers on existing releases,  a new capability for approvers in PeopleSoft HCM 9.1 is now available. The PeopleSoft Approval Workflow Engine (AWE) enables you to take action on approval requests directly from an email (for example: approve, deny, pushback, enter comments, or other AWE actions). There is no need for the approver to log into PIA to approve a request, they can take action and add comments directly from the email.

The HTML Email Approval feature delivers HTML email templates for some of the key PeopleSoft HCM Talent Management transactions including:

  • Job Opening
  • Job Offer
  • Absence Request
  • Extended Absence Request
  • Promote Employee
  • Transfer Employee
  • Reporting Change
  • Performance Document

Working with Requests

When a requestor submits a transaction for approval, an email is generated and sent to the approver(s), which contains detailed information about the transaction request. Based on the transaction’s configured actions, an approver can take action directly from the email by clicking a link, such as Approve, Deny, or Pushback, to generate a reply to the request. The email may display requestor comments and, if applicable, view approval history from other approvers. In addition to this, if further details or information is needed, the email also provides a link that will take the approver to the PIA approval component for that transaction.

PeopleSoft Mobile Time Entry now available in FSCM

Oracle is pleased to announce the release of PeopleSoft Mobile Time Entry, part of the PeopleSoft Expenses application, which is now generally available in PeopleSoft FSCM 9.1.

PeopleSoft Mobile Time Entry provides the ability to enter time sheets quickly and easily for project-based resources on the go. The contemporary, streamlined user interface is optimized for mobile devices (that support HTML5), such as tablets and smartphones. It provides a simple-to-use tool for capturing and submitting both project-based time and non-project time, such as vacation and training. Time reporters can even adjust their timesheets for prior periods, managers can approve timesheets, and more.

Now your project resources, whether they are traveling consultants, field technicians, or anyone else booking time to projects and activities, can enter time right from their phone. Giving users the ability to record time when and where they are actually expending their effort can not only increase the accuracy of the time reports, but also accelerate the process of converting time into cash for your enterprise. The faster and more accurately time is captured, the sooner your organization can account for it and invoice for it, and that can lead to better cash flow, more up-to-date information on project progress, and better decision making.

Combining PeopleSoft Mobile Time Entry with PeopleSoft Mobile Expenses and Mobile Approvals, the PeopleSoft Mobile Applications suite expands its ability to accelerate time and expense capture and increase data accuracy. With the new Mobile capabilities, travelers can increase efficiency by recording their time and expense when they are incurred rather than waiting until arriving back home or to the office.

Announcing the General Availability of PeopleSoft In-Memory Project Discovery – The Key to Tapping the Potential of Unstructured Data

We recently launched a new analytical application focused on enabling project-driven organizations to answer complex questions that until now were all but impossible to address even with the latest business intelligence tools and technologies.

The new application, called PeopleSoft In-Memory Project Discovery, is a true example of an Oracle Engineered System in that we have architected a business solution that takes advantage of the latest Oracle Middleware and Hardware to accomplish something that would otherwise be too complex, expensive, and risky for almost any other organization to attempt to build on its own. By leveraging Oracle’s Endeca Information Discovery business intelligence technology and Oracle’s Exalytics hardware for high-performance analysis, we have built a dashboard-focused interface over the PeopleSoft Projects suite to give project-oriented executives and managers the ability to correlate structured project and resource data with associated unstructured data. Okay, I know: that sounds rather mundane. So, to illustrate why this is “much more than just another BI dashboard,” let’s take a look at an example.

Imagine that you are the Vice President of facilities at a multi-campus university, and you read in the morning news that one of the subcontractors performing work for the school has been charged with defrauding customers by installing defective fire suppression systems. You know there have been a number of these systems installed throughout the university’s buildings, but unless you have your staff manually read through every project-related contract entered during the past three years, you literally have no way of knowing which projects might have exposure to these defective systems, how much was spent on these systems, and when they were installed. This situation leaves your university exposed to significant legal, financial, and safety risks every day until it is remediated. The inability to relate unstructured data (such as clauses in your contracts, text in your contract attachments, and so on) to volumes of structured data (such as project locations, project financial figures, purchase orders, and so on) is the barrier to eliminating these risks.

With the power of PeopleSoft In-Memory Project Discovery, however, you can mine project artifacts and deliver answers to your complex problem in seconds. By typing a few keywords into PeopleSoft In-Memory Project Discovery, you can learn where the defective systems were implemented and eliminate the costs that the university would otherwise incur for staff or temporary workers to pore over text related to your projects and could immediately mitigate the legal, financial, and safety risks associated with the subcontractor’s work. You could identify for the university all of the exposure to the defective fire suppression systems, draw up and institute remediation plans within hours, and immediately begin implementation of the plans to eliminate the risks. Pretty remarkable, wouldn’t you say? (Note that this scenario is just one example of what the application can do. There are many other high-impact scenarios to which you can apply the tool, such as using it to drive more profitable staffing decisions in a professional services organization. You can think of PeopleSoft In-Memory Project Discovery as a tool that enables you to unlock the value trapped in unstructured project and resource data, visualize that project and resource data as actionable information, and tighten your project financial controls at unprecedented speeds. It offers the ability to analyze project and resource transaction data based on data stored in related documents and other unstructured formats. A user types keywords, and the application immediately treats those keywords it finds in documents as reporting dimensions by which you can filter your project and resource information. The application also provides you the ability to view project and resource metrics changing in real-time as structured and unstructured data filters are applied and you close in on the answers you need to make informed decisions. The PeopleSoft In-Memory Project Discovery dashboards come with pre-configured alerts (which you can personalize) for key exceptions, such as budget overages, to draw your attention to important issues before they become problems and enables you to save sets of filters which you may want to apply to your data on a recurring basis.

Oracle Hosts PeopleSoft Customer Advisory Boards

The PeopleSoft Customer Advisory Boards met last week at the Oracle Conference Center in Redwood Shores.    Over 180 customer attendees representing 113 member companies participated as well as our partner sponsors for the CAB:    Accenture, Grey Heller, Infosys,  MIPRO and SmartERP.   The CAB included three days of  product breakouts, round tables and keynotes covering the PeopleSoft roadmap and customer feedback across HCM, Financials, ESA, ALM, Procurement and Technology.     In addition there were customer presentations covering  best practice topics such as leveraging the PeopleSoft Interaction Hub and using org modeling as a strategic planning tool.    Customers were also provided deeper insight into the newly delivered PeopleSoft 9.2  with focus on  lifecycle management tools using the PeopleSoft Update Manager.   The event was well received by customers.    Rich Harvey, from Boise, summed up the experience this way:

"The recent PeopleSoft Customer Advisory Board meeting showed just how deep Oracle’s commitment is to both the product line and the customers of PeopleSoft. The CAB is just one of the many venues available to the PeopleSoft customer to discuss and offer observations about the PeopleSoft product line and Oracle’s strategy. Information on downloading Tax Updates for release 9.2 Payroll for North America

Release 9.2 introduced the new PeopleSoft Update Manager.  This new process changed the way you manage your updates to the PeopleSoft system by allowing you to selectively apply patches to reduce time, effort and cost.  This means Payroll for North America has a new method to obtain Tax Updates and special postings for legislative changes.  We encourage you to visit our Knowledge Center to learn about the new process as well as the recommended steps you should take during your 9.2 upgrade. Doc ID 1566194.1 will give you this information, links to related information, as well as dates for upcoming webinars on how this new process works.

10 Innovations in PeopleSoft 9.2 - #2 Lower TCO With The Peoplesoft Update Manager

With the new PeopleSoft Update Manager in PeopleSoft 9.2 the way you manage updates to your PeopleSoft systems puts you in control of all changes on your schedule.   You can selectively apply patches with reduced time, effort, and cost.    Bundles and Maintenance Packs are no longer used.      Instead, a tailored custom package is automatically generated based on the parameters you select from the latest PeopleSoft source image.   You have access to all updates from Oracle on a cumulative basis and can select and search for specific updates such as new features, legal and regulatory changes, or a patch related to a specific issue, process or object.    Any prerequisites are automatically identified.  The  process of generating a change package is enabled through a new wizard with easy to follow steps and options.     As changes are introduced to your test environment the PeopleSoft Test Framework provides a closed loop process to run regression tests scripts against your changes.  For a quick overview of the PeopleSoft Update Manager check out the Video Feature Overview here:
