The Job Data component within PeopleSoft Human Resources is one of the most used components by your HR Administrators. Job Data serves as the central source of any employee’s job-related information. Nearly all PeopleSoft HCM modules and PeopleSoft products use the job information from Job Data for many requirements.

Later this year, we expect to make available a Fluid, activity guide-based redesign of the entire Job Data component to make it easier to use, minimize data entry errors, and facilitate new user adoption. Customers will also be able to configure approval processes, pages, and fields by action/action reason, masking for personally identifiable data, and replacement or extension of customizations.  Also planned is the ability to attach documents and improvement of the search functionality in Job Data; two of the most highly requested enhancements by customers.

Let’s take a closer look at some of the major design enhancements.

 

New Manage Human Resources Dashboard:

HR Administrators will have a dedicated, personalizable dashboard to access important Core HR transactions as tiles. The new Manage Job tile will provide access to Job Data. The more you personalize the dashboard with additional tiles to match your role and responsibilities, the less likely you will need to navigate the system via the traditional menu.

 

New Configurable Search

  • Search using Basic or Advanced Search
  • Configurable Keyword Search
  • One-click search using the criteria from previous or frequent searches
  • Save your search criteria and easily reuse a saved search
  • Search using additional criteria such as HR Status, Department, Jobcode, Manager Name
  • Configure your own Search Criteria and the Search Results fields displayed

 

Redesign means better User Experience

  • Single page summary of all Job actions for an employee
  • One-click ability to Add a Row, Edit Existing Rows, View Details, Delete and more
  • New easy-to-follow Guided Process for entering Personnel Actions
  • Attach supporting documents for Job Data changes
  • Check/Validate changes to Job Data for errors before submission
  • Maintain/Extend your customizations using delivered Drop Zones
  • Configure approval processes for Job Data changes
  • Configure steps and fields display by action/action reason using Page & Field Configurator

 

Why should you plan to deploy Job Data Modernization as soon as possible?

  • Streamline your HR Processes – You will have the ability to configure PeopleSoft to match your optimal HR business process by transaction type to ensure the right amount of time is spent on each type of action entered in your system. You will ensure that key people within your organization are notified or involved in the approval process as necessary, which is particularly important if your organization is decentralized.
  • Provide a Modern User Experience for your Business – Your PeopleSoft Administrator users want and need to experience the same modern user interface that they see deployed to infrequent users of the system like Employees and Managers. By leveraging Fluid and the Activity Guide, HR Administrators will have an easy way to search for employees and actions, verify changes, and enter new data. You will be able to configure PeopleSoft to only show the steps and fields necessary to complete data entry for an action. This will go a long way towards facilitating the training of new staff and minimizing/discovering errors before they get propagated to other systems.
  • Leverage PeopleSoft Technology: Job Data Modernization leverages the latest PeopleSoft frameworks like Configurable Search, Activity Guide Composer, Page and Field Configurator, Fluid Attachments, Related Content, Fluid Approvals, Drop Zones, Event Mapping, and more. This means that you can make changes to what is delivered by updating the configuration options instead of engaging in traditional customization of PeopleCode.
  • Reduce Customizations: With Job Data Modernization, you can identify your customizations that can now be moved to a configuration. Some common customizations that may become configurations for you include field label changes, search criteria, attachments, and reviews before submission. This reduces your maintenance cost over the long term.

 

How do you Prepare for Job Data Modernization?

Pre-requisites

  • You should be using PeopleTools version 8.57.11 or higher to use the Job Data Modernization feature, however our recommendation is to use PeopleTools 8.58.
  • Subscribe to the PeopleSoft YouTube Channel to review latest PeopleSoft HCM deliverables relating to this feature when they are posted.
  • Determine what your rollout plan will be (i.e., by region, location, business unit, or all at once).
  • If applicable, talk to your consulting partner or system integrator and involve them early in the project.  Your partner should already be aware of this feature, if not – make them aware.

Create an inventory of customizations in Job Data

  • Create a list of all your customizations in Job Data and categorize them by different functional buckets like Search Related, Job Data page-specific, Attachments, Approvals, etc.
  • Sub-categorize the customizations as Field or Page Label Changes, Hide/Unhide Fields, Display Only Fields, Hide/Unhide Page, Custom Integrations/Reports, etc.
  • Flag customizations you no longer need or may now be replaced by a configuration.

Plan to leverage Page and Field Configurator PFC (optional)

  • Define your process for entering data in Job Data for each major action/reason.
  • For each action, determine if there are fields or steps that need to be enabled/required/hidden and field labels that need to be renamed
  • PFC allows you to mask personally identifiable data.  Data masking and confidentiality is a major HCM initiative and this would be a perfect opportunity to evaluate what kind of configuration you want to make for Job Data.
  • Note that Job Data Modernization will come with pre-seeded PFC configurations to provide a quick start to your project.

Define approval steps, routing for Actions that may require approval (optional)

  • Approvals are completely configurable with Job Data Modernization.  Identify which actions require approvals and any special routing criteria or conditions.  Identify who is authorized to initiate an action and who should be the intermediate and final approvers for each action.

Security and Access

  • Review the proposed Security Details Document in the Job Data FAQ Document for details of the new roles and permission lists required for accessing the Fluid version of Job Data.
  • You should have a plan to clone the delivered roles and create new roles to make changes required to existing user profiles.  
  • Document changes based on whether you want to grant users full or partial access to the Fluid version of Job Data and update the existing Security Matrix document to reflect these changes.

Training 

  • Identify a pilot group of HR Administrators who can help verify the new feature, validate and confirm the configurations required, and test the feature.
