In my last blog post on Profile Management, you learned about a new feature that will be coming soon with the enhancements to Profile Search/Match/Compare.  Today let’s talk about the person profile.  The person profile in PeopleSoft is the one profile that is probably the most commonly used by almost all PeopleSoft customers.  This is because the person profile contains important information such as education, license/certification, and language skills of an individual.  However, there is so much more that an organization can capture with the person profile.  Let’s look at some important aspects of the person profile.

First, the person profile is automatically created for you when you hire an employee, utilizing either manage hires or a template-based hire.  The profile will populate with the education, language, and license/certification information directly from PeopleSoft Talent Acquisition Management, if configured to do so.  You can also display the data in PeopleSoft onboarding so that the data can be verified, updated, and added to during the onboarding process.

Second, the person profile is really the key to a holistic view of the employee.  Utilizing PeopleSoft talent management application the person profile shares data across the applications to allow for attributes to be attached at the employee level.  For example, if you utilize PeopleSoft ePerformance you can update the person profile with competencies and competence ratings upon completion of the review.  You can recommend learning based on the need to increase proficiency in a certain competency, that can then be tied to PeopleSoft Enterprise Learning Management.  In PeopleSoft ELM you can take that learning to meet the corresponding objectives that were assigned by ePerformance.  This is just a small part of how the person profile can share data across PeopleSoft applications.  Another great resource is the PeopleSoft Employee Snapshot.  As a manager, all of the information from a person’s profile, including past projects, responsibilities, competencies, languages, certifications, and licenses, can easily be viewed using the PeopleSoft Employee Snapshot.

As with all of profile management the most important aspect of setting up a successful profile strategy is planning.  Take a moment and storyboard what your end goal is.  Are you wanting to utilize the search/match/compare feature, are you wanting to do career and succession planning, or are you simply wanting to do a better job of tracking and managing employee competencies?  All of this can be accomplished in profile management, but only if you take the time and set up the profiles in a way that allows for the data to be analyzed in a way that meets the end goal.
