Rosanna is a HR Representative who normally has access to view all the fields in Personal Data.  With the release of Image 41, only the HR Administrators can view/update the Gender and Orientation Details, thus we need to hide some of these new fields for Rosanna and other HR Representatives.

Not sure how to hide fields in Personal Data? This blog will take you through the steps on how to use Page and Field Configurator (PFC).

Navigation: Workforce Admin > Personal Information > Biological > Update Personal Detail

Instruction: Log in as a Rosanna Channing (RCHANNING) who is current able to update/view the Gender and Orientation Details in Personal Data.

Scenario – Rosanna is an HR Representative with access to view all the fields in Personal Data.  With the release of Image 41, only the HR Administrators can view/update the Gender and Orientation Details, we need to hide these fields for HR Representatives.

Not sure how to hide fields in Personal Data, this blog will take you through the steps on how to use PFC.

The first thing you need to know is the component name for fields you want to hide.  If you don’t know the component name, click on the Alt & “J” key at the same time and this will show you the component name.

Instructions: Logout as RCHANNING and log into PeopleSoft as Betty Locherty (PS/PS).

Navigation: Enterprise Components > Page and Field Configurator

Once you navigate to the Page and Field Configurator page, select add a New Value button and enter

Component Name = PERSONAL_DATA

Market = Global

Configuration Type = Standard

Select fields button and Primary = Biographical Data

Select the Gender Identity fields you want to hide.

In our example, the HR Representative can view the employee’s current sex and pronouns, but not view the birth sex, sexual orientation, and gender identity fields (hiding these fields).

Click ok button

Select option – Hide fields

Select Validate Configuration button

Select User List Tab

PFC makes it very flexible in how you configure who can see or not see specific fields. You can include or exclude by user id, by roles.

Select Map to Portal Registry Tab

Select the Portal items, click on Apply Configuration button.  Select Save button.

Instructions: Logout of PeopleSoft.  Log back in as Rosanna (RCHANNING/RCHANNING) an HR Rep.

Navigation: Workforce Admin > Personal Information > Biological > Update Personal Detail

Rosanna Channing can only update and view an employee’s current sex and pronouns fields. The birth sex, gender identity and sexual orientation fields are hidden.

For more information, check out the video on the Gender Identity and Expression feature.
