OVERVIEW

Supplier Classification Tracking allows organizations to define their own Effective Dated Classifications and Certifying Agencies, associate them to their Suppliers, generate Notifications for Expired or Nearing Expiration Certifications, and create queries/reports based on Suppliers having certain Classifications and/or Certifications.  It is meant to supplement existing Supplier information or allow a transition from using existing fields/values to ones that are fully controlled by the buying organization.

SECURITY

A new Permission List (EPCT1000) and Role (Supplier Classification Admin) have been introduced with Supplier Classification Tracking.  A user with this Permission List or Role will have access to the new components associated with the feature.

DEFINE SUPPLIER CLASSIFICATIONS

Supplier Classifications can consist of any identifiers that a customer may want to associate with their suppliers.  Classifications may exist stand-alone or you may further maintain at a Sub-Classification level.  They are defined by SetID and are Effective Dated providing the ability to phase-in or phase-out their use over time.

Examples of Supplier Classifications:

  • DIVERSIT
    • Woman Owned
    • Minority Owned
    • Veteran Owned
  • ESG (Environmental Social Governance)
  • LICENSES
  • CERTIFICATIONS (ISO, FDA, OSHA)
  • TYPE OF SUPPLIER (Strategic, Tactical, Operational)
  • BUSINESS STRUCTURE (Corp, LLC, sCorp, Sole Proprietorship)
  • TYPES OF RISK (Financial, Geo-Political, Environmental) and LEVEL (LOW, MEDIUM, HIGH)

Access to Define Classifications is through the menu or menu search.

Define Supplier Classifications

Supplier Classifications consist of the following fields:

  • SetID (Required)
  • Classification (Required)
  • Effective Date (Required)
  • Status (Required)
  • Classification Name (Required)
  • Description (Optional)
  • Diverse (Default Not Checked) – Indicate if the Classification is considered to be Diversity related.
  • Certification Required (Default Not Checked) – Enable if the Classification requires Certification.
  • Sub-Classifications (Default Not Checked) – Enabled if the Classification is to be broken down into Sub-Classifications.

If Sub-Classifications enabled, at lease one Sub-Classification must be provided for the Classification.  Sub-Classifications assume the same settings as the Classification (ex. Diverse, Certification).

  • Sub-Classification (Required)
  • Sub-Classification Name (Required)
  • Description (Optional)

In this example, the Classification is VETERAN and is Effective and Active.  It is identified as Diverse and has Sub-Classifications.  There are four Sub-Classifications including VOSB (Veteran Owned Small Business) referenced in the screenshot.

DEFINE CERTIFYING AGENCIES

Certifying Agencies are organizations or entities that are authorized to formally certify or confirm that a Supplier belongs to or possesses a certain type of Classification (Sub-Classification).

Examples of Certifying Agencies:

  • City, County, State, National
    • Minority
    • Small Business
    • Licensing
  • Authorized Entities (ex. ISO Certification)
  • Business Council (ex. NMSDC – National Minority Supplier Development Council)
  • Clearing Houses (ex. CPUC – California Public Utilities Commission)
  • 3Rd Parties (ex. DNB, B2GNow, VIVA, GainFront, SupplierIO, IASE)

Access to Define Certifying Agencies is through the menu or menu search.

Define Certifying Agencies consist of the following fields:

  • SetID (Required)
  • Certifying Agency (Required)
  • Effective Date (Required)
  • Status (Required)
  • Certifying Agency Name (Required)
  • Description (Optional)
  • URL (Optional)
  • URL Link – When selected open website in new browser window tab.

Contact Details – You have the option to identify a contact for the Certifying Agency and information about that contact.

  • Contact Name (Optional)
  • Title (Optional)
  • Telephone (Optional)
  • Email Address (Optional)

At least one Supplier Classification or Supplier Classification / Sub-Classification combination must be associated to a Certifying Agency.  Only Supplier Classifications that are flagged as “Certification Required” may be associated to a Certifying Agency.

  • Supplier Classification (Required)
  • Sub-Classification (Required – if applicable).

In this example, the Certifying Agency is the Small Business Administration (SBA). It is Effective and Active with a URL provided to the SBA website.  Contact information is also provided.  The SBA is authorized to Certify 5 different Classification/Sub-Classification combinations for a Supplier.  Notice that the Classification VETERAN with Sub-Classification VOSB is one of them.
