In the Expenses Administrator’s WorkCenter under “My Work,” administrators are already familiar with the list of Exceptions—system-identified conditions that require attention. These Exceptions highlight areas where policy compliance, financial accuracy, or operational follow-up may be needed. Coming soon, we’re enhancing that experience by pairing Exceptions with in-line Embedded Analytics, providing immediate visual context to support faster and more informed decision-making.

A Practical Example: Overdue Cash Advances

As a first example of this capability, we’ve focused on the Exception “Overdue Cash Advances.” This condition flags travel cash advances issued to employees who have not yet submitted an expense report to reconcile those funds. In simple terms, the organization has provided money that has not yet been accounted for.

Traditionally, identifying and resolving these situations required administrators to review lists, follow up manually, and potentially perform additional analysis outside the system. With Embedded Analytics, administrators will not only see who has outstanding advances, but also gain immediate visibility into patterns and risk areas through two key visualizations:

  • Outstanding Cash Advances for Active Employees
  • Outstanding Cash Advances for Inactive Employees

Turning Data into Decisions

By placing analytics directly alongside the Exception, administrators will be able to move beyond simply identifying an issue—they will be able to understand it in context and take the right action more quickly.

For active employees, the visualization highlights where outstanding balances are concentrated. For example, an administrator might notice that a particular department consistently appears with higher overdue amounts. This insight opens the door to proactive management actions, such as:

  • Engaging with department leadership to reinforce policies
  • Identifying gaps in training or communication
  • Increasing oversight or tracking for high-risk groups

Instead of reacting to individual cases in isolation, administrators will be able to address root causes and improve overall compliance.

For inactive employees, the situation is different. These are cases where recovery of the advance may no longer be possible because the employee has left the organization. The analytics clearly distinguish the two scenarios.

In such cases, the appropriate step is not follow-up, but resolution. Administrators could mark these Exceptions as “Inactive” and include a note indicating that the amount is not recoverable.
