Becoming a Certified Information Professional

Yesterday, we participated with AIIM in a webinar about the Certified Information Professional (CIP) program that they are now offering.  The interest level is very high in the program, as evidenced by the high turnout at the event.


You might be asking yourself, what does the Oracle WebCenter team care about an AIIM certification program? Well, we sponsored this program because we consistently find that the more educated our customers and prospects are, the more value they are going to get out of the technology we provide.  As an ECM vendor, we provide plenty of WebCenter product training and certifications to help you make the most of WebCenter technology.     WebCenter Customer Spotlight: Texas Industries, Inc.

    Texas Industries, Inc. (TXI) is a leading supplier of cement, aggregate, and consumer product building materials for residential, commercial, and public works projects. TXI is based in Dallas and employs around 2,000 employees.

    The customer had the challenge of decentralized and manual processes for entering 180,000 vendor invoices annually.  Invoice entry was a time- and resource-intensive process that entailed significant personnel requirements.

    TXI implemented a centralized solution leveraging Oracle WebCenter Imaging, a smart routing solution that enables users to capture invoices electronically with Oracle WebCenter Capture and Oracle WebCenter Forms Recognition to send  the invoices through to Oracle Financials for approvals and processing. 

    TXI significantly lowered resource needs for payable processing,  increase productivity by 80% and reduce invoice processing cycle times by 84%—from 20 to 30 days to just 3 to 5 days, on average.




    Company Overview
    Texas Industries, Inc. (TXI) is a leading supplier of cement, aggregate, and consumer product building materials for residential, commercial, and public works projects. With operating subsidiaries in six states, TXI is the largest producer of cement in Texas and a major producer in California. TXI is a major supplier of stone, sand, gravel, and expanded shale and clay products, and one of the largest producers of bagged cement and concrete  products in the Southwest.

    Business Challenges
    TXI had the challenge of decentralized and manual processes for entering 180,000 vendor invoices annually.  Invoice entry was a time- and resource-intensive process that entailed significant personnel requirements.

    Their business objectives were:

    • Increase the efficiency of core business processes, such as invoice processing, to support the organization’s desire to maintain its role as the Southwest’s leader in delivering high-quality, low-cost products to the construction industry
    • Meet the audit and regulatory requirements for achieving Sarbanes-Oxley (SOX) compliance
    • Streamline entry of 180,000 invoices annually to accelerate processing, reduce errors, cut invoice storage and routing costs, and increase visibility into payables liabilities
    Solution Deployed
    TXI replaced a resource-intensive, paper-based, decentralized process for invoice entry with a centralized solution leveraging Oracle WebCenter Imaging 11g. They worked with the Oracle Partner Keste LLC to develop a smart routing solution that enables users to capture invoices electronically with Oracle WebCenter Capture and then uses Oracle WebCenter Forms Recognition and the Oracle WebCenter Imaging workflow to send the invoices through to Oracle Financials for approvals and processing.

    Business Results

    • Significantly lowered resource needs for payable processing through centralization and improved efficiency 
    • Enabled the company to process invoices faster and pay bills earlier, allowing it to take advantage of additional vendor discounts
    • Tracked to increase productivity by 80% and reduce invoice processing cycle times by 84%—from 20 to 30 days to just 3 to 5 days, on average
    • Achieved a 25% reduction in paper invoice storage costs now that invoices are captured digitally, and enabled a 50% reduction in shipping costs, as the company no longer has to send paper invoices between headquarters and production facilities for approvals

    The power of Oracle WebCenter Content – extended through CARA

    Oracle WebCenter Content just got a great companion product – CARA from Generis, an Oracle Gold Partner. CARA is a web-based interface on top of WebCenter Content and it provides both a high-performance / high functionality end-user experience, as well as a full suite of configuration tools that allow you to build a business use case for Oracle WebCenter without coding. CMSwire recently reviewed CARA and called it “a pretty slick tool”.

    About CARA

    So what does CARA offer on top of the Oracle WebCenter? There are two main aspects.

    1) A fast, efficient user interface. Slow UIs are one of the biggest reasons that Content Management projects fail. The second biggest reason is if the UI is “unfit for purpose” and the CARA UI has evolved over the last few years based on direct studies with user groups. The team from Generis spent time looking at how users work – how they create content, relate it, push it through the lifecycle – and finding ways of reducing clicks, showing more information on a single screen, and doing intelligent automation based on the system predicting what users are going to do next.

    2) A full configuration layer. The largest cost involved in any Content Management project is tailoring the platform to meet the specific business requirements. Typically this meant months of coding / customization, with the associated testing and then upgrade headaches and cost. CARA provides a vast range of configuration items – basically covering everything from how the UI looks for each user through to the business rules e.g. properties screens, folder rules, automated security and so on. In fact, CARA has so much configuration, that Generis is offering a zero customization policy - if customers need a new feature, it will be added as a configurable feature available to everyone. The team from Generis has even created “pre-packaged” configuration start points for various use cases such as Quality Documents, Human Resources, Legal, and a range of Life Sciences cases including eTMF, submissions / eCTD, Correspondence and Commitment Tracking, and Change Control.

    Part of the reason CARA is so flexible is that it is a JAVA application built using the Google Web Toolkit (which means it works in any browser). CARA is available also as a mobile solution and in multiple languages including English, French, German, Spanish, Japanese, Chinese, Arabic, Russian, Portuguese and Polish.

    When you first see CARA open, it is pretty unusual for a web application – in fact, it looks like you are working on a Windows machine inside your browser. You can have multiple windows open on your screen (so you can efficiently multi-task) and you can do things like drag and drop between windows.

    Apart from the usual lists of documents and menus / buttons, there are some other unique things about CARA, which you won’t find in other web UIs. For example, the Widgets Panel shows (not surprisingly) widgets of information about documents that you click on – you can choose from several out of the box widgets, or actually build your own through configuration – including pulling information from third party systems via web services (think JD Edwards, Siebel, databases…). This makes the Widgets incredibly flexible and powerful.

    Also – to solve one of the biggest problems in content management (“how do I find my stuff”), CARA has a tool called Dimensions – it’s the ultimate replacement for either fixed-folder navigation or running explicit searches. Basically, choose up to 5 levels of attributes by which you want to browse the repository, and each user has their own virtual folder structure. You can pre-define dimensions for roles or scenarios to make it easier for users to find appropriate groups of documents or filter them by different combinations. This is probably the #1 favorite feature when we talk to users.

    In the spirit of Oracle dashboards, CARA also has its own Dashboards where you can access reports as charts or tables, export to Excel, and so on:

    All of this is underpinned with the configuration layer which allows you to configure both the user interface (layout, availability of functions per group and so on) as well as the business rules (for example security / folders / audits based on attribute value rules, properties screens, property inheritance / auto-generation). The entire configuration is done through the CARA UI, requiring zero coding – cutting cost and time of implementation dramatically:

      Real World Mobility Usage

      At this point in the week, we should highlight one of Oracle’s great customers that are pushing the limits of what can be done with a mobile app with content driven by Oracle WebCenter. Medtronic is a leader in pushing this technology to the edge in real world field usage and we’ve talked about them often because they have raised the bar for using an iPad as a primary means of conveying information to their clients in healthcare. Not only are they one of our favorite examples, but also featured as one of Apple’s favs with a featured customer profile on them here on the Apple site



      For making sense of everything that is happening in our world with the growth of mobile and social – I would be remiss if I didn’t reference one of the best blogs around for insightful information and commentary (and INCREDIBLE Infographics!)       Taking AIIM at Social

      Christian FinnToday we are pleased to have a guest post from Christian Finn (@cfinn).  Christian is Senior Director of Product Management for Oracle WebCenter and heads up the WebCenter evangelist team.

      Last week I had the privilege of speaking at AIIM’s new conference in San Francisco.  AIIM, for those of you not familiar with it, is a global community of information professionals and got its start with ECM and imaging long ago. With 65,000+ members, AIIM has now set about broadening its scope to focus more on the intersection between systems of record (think traditional ECM) and systems of engagement (think social solutions).  So AIIM’s conference is a natural place to be for WebCenter types like me, who have a foot in both of those worlds.

      AIIM used to have their name on a very large tradeshow, but have changed direction now to run a small, intimate conference.  The lineup of keynotes was terrific, including David Pogue of The New York Times, Clay Shirky, author of Here Comes Everybody, and Ted Schadler, author of Empowered among many thought-provoking and engaging speakers. (Note: Ted will soon be featured in our Social Business webcast series. Stay tuned.)

      John Mancini and his team at AIIM did a fabulous job running the event and the engagement from the 450 attendees was sustained over the two and a half days.  Our proudest moment was having three finalists up for AIIM awards including: San Joaquin County, CA, for a justice case management system using WebCenter Content and Oracle BPM; Medtronic and Fishbowl Solutions for their innovative iPad solutions on WebCenter Content, and the government of Louisville, Kentucky/Jefferson County for their accounts payable solution using WebCenter Content’s Image & Process Management.  The highlight of the awards night was San Joaquin winning the small organization award against some tough competition.

      In addition to the conversations sparked at the show, AIIM promoted the whitepapers their industry task forces have produced on the impact and opportunities created by systems of engagement and systems of record. The task forces were led by: Geoffrey Moore, the renowned high tech marketing guru and author of Crossing The Chasm; and Andrew McAfee, who coined the term and wrote the book, Enterprise 2.0. (Note: Andy will also be featured soon on the Social Business webcast series.)  These free papers make short, excellent reading and you can download them on the AIIM website: Moore highlights the changes to Enterprise IT that the social revolution will engender, and McAfee covers where and how organizations are finding value in using social techniques to foster innovation, to scale Q&A across the organization, and to connect sales and marketing for greater efficiency and effectiveness. Knowledge workers represent the fastest growing segment of the workforce, accounting for 40%-75% of the employees at organizations in sectors like financial services, life sciences, healthcare and retail. What’s more, their wages total 18 percent of the United States GDP. And so we can’t afford information systems that don’t let our top performers be the best they can be. We look to automate the content processes, provide ways to integrate that content into our processes, provide communication to make decisions, and to make content more findable so people can make the right decision and move the process forward.

      And really to get ourselves out of the current financial status, we can only cut costs so far. We have to innovate out of economic tough times – to find new products and new markets. And to enable the innovation process, we have to enable collaboration and expertise location. So much of innovation is about building on innovations that have come before. To solve problems, we have to be able to find what our organization has already created. We find that problems we need to solve have already been solved if we can find the right document, the right person. So we have to provide systems that enable us to stand on the shoulders of our organization’s accomplishments.

      Good content drives great marketing. Online engagement is growing as an absolute necessity for modern growing marketing organizations that require the business users be enabled for dynamic marketing content creation, updates and targeted content creation and management.
