PeopleSoft Services Procurement Highlighted by Leading Industry Analyst

PeopleSoft Services Procurement, part of the PeopleSoft Supplier Relationship Management (SRM) 9.2 suite of applications, was the subject of a positive article written by Jason Busch of the leading industry analyst firm Spend Matters.

The article highlighted new functionality in PeopleSoft Services Procurement, as well as the value of exploiting the integration advantages of a unified solution across all aspects of the business. For example, enhanced 9.2 integrations enable PeopleSoft Resource Management and Services Procurement to streamline the shifting of a search from internal to external resources, enabling organizations to accelerate the deployment of the best mix of resources (internal and subcontractor) on a project.

In addition, new inbound timesheet integration from external suppliers (via web services) eliminates the need for time sheet entry in two separate systems (customer and service provider). This can reduce the time to approve and settle.

By managing the entire outsourced services process from request through settlement, PeopleSoft Services Procurement enables organizations to lower service costs and collaborate with suppliers, thus helping to balance global workforce needs and contingent labor spend.

Oracle Hosts PeopleSoft Customer Advisory Boards

The PeopleSoft Customer Advisory Boards met last week at the Oracle Conference Center in Redwood Shores.    Over 180 customer attendees representing 113 member companies participated as well as our partner sponsors for the CAB:    Accenture, Grey Heller, Infosys,  MIPRO and SmartERP.   The CAB included three days of  product breakouts, round tables and keynotes covering the PeopleSoft roadmap and customer feedback across HCM, Financials, ESA, ALM, Procurement and Technology.     In addition there were customer presentations covering  best practice topics such as leveraging the PeopleSoft Interaction Hub and using org modeling as a strategic planning tool.    Customers were also provided deeper insight into the newly delivered PeopleSoft 9.2  with focus on  lifecycle management tools using the PeopleSoft Update Manager.   The event was well received by customers.    Rich Harvey, from Boise, summed up the experience this way:

"The recent PeopleSoft Customer Advisory Board meeting showed just how deep Oracle’s commitment is to both the product line and the customers of PeopleSoft. The CAB is just one of the many venues available to the PeopleSoft customer to discuss and offer observations about the PeopleSoft product line and Oracle’s strategy. Although PeopleSoft 9.2 was just recently released with its own set of increased functionality, new technologies and substantial improvement to the end user experience, PeopleSoft gave the CAB a view of the future. 10 Innovations in PeopleSoft 9.2 - #3 Enhanced Supplier and Employee Self-Service in Supplier Relationship Management

PeopleSoft Supplier Relationship Management has introduced enhanced Supplier and Employee self service capabilites in PeopleSoft 9.2.

Self-Service Supplier Onboarding:  New self-service supplier onboarding was introduced in PeopleSoft FSCM Release 9.2 and is part of PeopleSoft’s larger Supplier Lifecycle Management Initiative.

Onboarding new suppliers and managing supplier changes is a major undertaking for many organizations. Often, the tasks that are involved include a combination of online forms, printed forms, emails, fax, phone calls, sticky notes with reminders of supplier changes, and finally manually entering or updating the information into the system and hope there are not too many manual errors. PeopleSoft FSCM Release 9.2 now electronically automates the entire onboarding process for suppliers. Imagine, an intuitive step-by-step configurable registration process that includes Duplicate Supplier Checking, Office of Foreign Asset Control (OFAC) denied parties screening, and approval workflow to ensure that only approved supplier are included in your supplier master; collaboration tools for sending notifications or gathering additional attributes about suppliers; and configurable profile questions for capturing information and attachments to help with Supplier Qualifications. The new step-by-step registration process can be configured to be accessible on your organization’s public website for unsolicited requests, by email invitation only, by your internal employees, or any combination of these three methods. And all of this is included with your existing Purchasing and Payables license only! In addition, the PeopleSoft Strategic Sourcing bidder registration now uses the same self-service registration as used for suppliers, especially useful for onboarding new bidders and suppliers on your public website all through one set of registration pages.


Employee Self-Service: When ordering goods or services through PeopleSoft eProcurement, users are looking for a more intuitive and configurable user experience, mirroring what they are used to seeing on consumer shopping sites. To achieve this, for Release 9.2 of eProcurement, we enhanced the user interface and added configuration capabilities to provide a simple consumer-like shopping experience,
while still allowing for all of the complexity (overriding shipping line and distribution information, and so on) for users who require those features. Enhanced search capabilities and results to support the new Transparent Punchout capability, leveraging our new Secure Enterprise Search (SES) functionality. The search fields that appear will be easily tailored by users to hide irrelevant fields, and the use of role actions will control what capabilities a particular user is allowed. PeopleSoft eProcurement now provides usability enhancements to the Checkout page to provide a cleaner look and feel, with role actions controlling whether a requester can override the shipping line or distribution details. With these new usability and functional improvements, we now provide an intuitive consumer-like ordering experience that can be uniquely tailored for individual users of the system, reducing the need for extensive training and novice user errors, and improving overall efficiency when ordering indirect goods or services.

Enabling the Mobile WorkforceEmployees are often called upon to do their daily tasks while away from their desks...meetings, conferences and day-to-day demands on their time sometimes makes it difficult to complete even the most mundane task of requisitioning supplies or requesting a service.  In 9.2, PeopleSoft SRM provides an easy-to-use mobile requisitioning capability optimzed for a personal tablet device that allows a user to quickly and easily enter a requisition by browsing through a catalog, doing a targeted search, or even by accessing their "favorites". Users may interact with the system much like they are used to on the more popular consumer shopping sites.  This new application is delivered as part of the PeopleSoft eProcurement module with no additional license needed.

10 Innovations in PeopleSoft 9.2 - #7 Guided Navigation With Activity Guides and Train Stops

PeopleSoft is more focused than ever on the end user. We are constantly striving to find ways to make your user experience the best it can be.  To help achieve this goal, we have introduced two new types of user driven guided navigation which are designed to effortlessly guide through a process.

PeopleTools release 8.53 introduced new robust guided navigation functionality called Activity Guides. This new functionality allows customers to setup their own guided navigation process that will define actions or steps needed to complete end-to-end business processes. The configuration allows you to specify which steps are optional and which ones are required.  You can also determine the order the steps will display.  You can even launch workflow and approval routing as part of your processing steps.  Any PeopleSoft Enterprise collaborative application can take advantage of this underlying functionality, however in release 9.2 PeopleSoft has delivered some Activity Guides that are setup and ready for you to use.

The second type of navigation is a horizontal guided navigation process or what we often refer to as a ‘train stop’.  This internal infrastructure provides the ability to display and order a series of steps (with possible substeps) to accomplish an overall task.  The goal is to provide the end user with a complete view of the process and allow them to see where they are within the process at any point in time.  You will see this navigation used throughout PeopleSoft products in release 9.2.



Below are a few examples of how PeopleSoft 9.2 utilized the new guided navigation functionality.

Human Capital Management (HCM/ELM)
Benefits (eBenefits) application took advantage of the new Activity Guide functionality and redesigned Life Events.  The Life Events process empowers employees to complete HR, Benefit and Payroll related transactions due to life event change.  The Activity Guide framework allows you to configure the steps/actions that the employee must take to ensure uniform compliance based your organizational requirements. 

Enterprise Learning Management (ELM) created an ELM to HCM Integration using activity guides.  As with Life Events, the steps/actions are based on your configuration.  Using the Activity Guide Framework ensures the Integration messages are run in the correct order.

Payroll for North America (ePay) took advantage of the horizontal guided navigation for the Paycheck Modeling.  Paycheck Modeling allows USA employees to simulate changes to their paycheck without updating the production tables.  Employees will be guided through each train stop allowing them to modify changes to their earnings, deductions or tax withholding Status to create an estimated/modeled check. 

Recruiting Solutions used the horizontal guided navigation for Candidate Gateway.  Your applicants will be guided through the application process in a step by step navigation process while instructing them on the information they need to provide. In addition, you have the ability to control the steps a potential applicant can see based on the job the candidate is applying for.


Financials and Supplier Relationship Management (FMS/SRM)
Financials (FMS) eBill Payment enhanced the payment cart functionality by using the new guided navigation process.  There is a train stop for each step of the payment process.  This allows the user to know exactly where they are in the payment process and what comes next.  If the credit card payment functionality is hosted, the payment cart will punch out to the hosted credit card vendor’s user interface to complete the payment process.  Users can save the payment cart for future and come back to it at a later point to finish the transaction.

Supplier Relationship Management (SRM)
PeopleSoft SRM used the horizontal guided navigation train to improve the onboarding process for Suppliers. With this functionality your organization can configure the data that will appear in each stop.  The navigation also allows the supplier to visually know where they are in the onboarding process, as it guides them through all of the necessary steps to complete the new supplier registration.

Cumulative Feature Overviews For PeopleSoft 9.2 Now Available

Cumulative Feature Overviews (aka CFO's), are a great tool to start your fit gap analysis for PeopleSoft 9.2.      Built into an Excel spreadsheet, it enables you to quickly understand major changes that have occurred across multiple releases for any give product.    For example, if you are on PeopleSoft Accounts Payable 8.9 and are looking for the changes that have occurred between 8.9 and 9.2, the CFO tool provides a list of these changes for all releases since PeopleSoft 8.9 with detailed descriptions.    Customers and partners can now download the 9.2 versions of the CFO's in My Oracle Support at the link below.

Oracle Consulting North America is now live on PeopleSoft Services Procurement and PeopleSoft Resource Management

Last month, Oracle's own internal consulting group (OCS North America) went live on PeopleSoft Services Procurement and PeopleSoft Resource Management to manage all aspects of identifying, recruiting, and deploying billable subcontractors on North America Applications customer consulting projects. The primary goals were to enhance the subcontractor staffing process, improve operational and informational processes, and improve collaboration between the Oracle NA Consulting Subcontractor Program and subcontractor suppliers.

Over 200 registered external suppliers access the tool, review open needs and competitively bid their resources to work on NA Applications projects.

This implementation highlights the usage of Oracle’s own solutions to streamline and enhance business operations, as the PeopleSoft 9.1 applications (Services Procurement and Resource Management) were deployed using Sun hardware, Oracle Enterprise Linux, and Oracle Virtual Machines.

Support Changes for PeopleSoft Applications

To ensure Oracle’s PeopleSoft applications customers continue to receive world class support from Oracle and have ample opportunity to upgrade to PeopleSoft Release 9.2, Oracle recently announced the following changes to Oracle’s Lifetime Support:

  • Extended Support for PeopleSoft Release 9.0 until June 2015
  • Waiver of Extended Support Fees on PeopleSoft Release 9.0
  • Waiver of Extended Support Fees on PeopleSoft Release 9.1

PeopleSoft RECONNECT Conference Unites the PeopleSoft Community

The PeopleSoft team is looking forward to participating in this new PeopleSoft deep dive conference from the Quest International Users Group.  We’ve worked diligently with the leadership of Quest’s PeopleSoft Special Interest Groups (SIG’s) and Regional User Groups (RUG’s) to make sure this national user event delivers PeopleSoft content that meets the needs of the PeopleSoft community.

The inaugural PeopleSoft RECONNECT conference will be held August 27-29, 2012 in Hartford Connecticut.  Through our Product Strategy, Development and Support teams Oracle will provide support for education sessions in these key tracks:

PeopleSoft Long Term Investement Plan and Roadmap

I'm often asked by customers, what's next for the PeopleSoft product line? It's a topic we love to discuss, as there are a lot of great things happening with the PeopleSoft products as you might have seen in our recent Feature Pack 2 announcements and YouTube postings. Striving to put more of this information in the hands of our customers, last year we published a multi-year roadmap that went well beyond a typical statement of direction for the next planned release. It included both functional and technical directions for all PeopleSoft products over multiple years. A number of the features highlighted in this original roadmap document have now been delivered with the culmination of 9.1 Feature Pack 2 and PeopleTools 8.52. We've now included additional updates for PeopleSoft 9.2 and beyond.

Introducing ‘Transparent Punchout’ Capability for PeopleSoft SRM 9.1

We all know that implementing an eProcurement system can save companies millions of dollars by improving spending control, ensuring ordering against negotiated contracts and preventing maverick buying ; but the heart of any ‘world class’ eProcurement product is how catalogs are managed and, by extension, how accurate the Item information is when an item search is executed within the system.

What is a Catalog?

A catalog is a definitive source of supplier product and service information that is typically divided into product categories and is used, in conjunction with pre-negotiated supplier contracts, to return accurate product and pricing information for a requestor.

The main catalog types are:

Internal CatalogsThese are catalogs that are stored locally in the system and can be created internally or uploaded into the system from a supplier or third party content management system.

Web Catalogs – Commonly called Punchout catalogs, these are Catalogs where a requestor would actually leave the eProcurement UI and go to an external supplier website or to a supplier ‘hub’ to order the items. Once the items have been ordered, the information would be brought back into PeopleSoft eProcurement for review, budget checking and submission for approval.

External Catalog – This type of catalog (also known as a ‘Transparent punchout’ or ‘distributed search’) allows requestors to search for products on an external supplier site or supplier hub without leaving the eProcurement UI. The search is executed in the background on the remote site and returns a list of matching products to the eProcurement search page where they can add the item to the cart and continue the ordering process as with other catalog items.

Catalog Flow

This is a visual representation of the various flows that can occur from a local search for a Product or Service. As part of the search process, the requestor can select to search from Internal Catalogs or, using Transparent Punchout, can search against a remote supplier directly or an external hub which can contain information from multiple suppliers. Within eProcurement, the transparent punchout products are displayed in the External Catalog section with a configurable number of Items brought back from the remote supplier or hub based on matching the search request.

Benefits of Transparent Punchout

The main benefits of having the ‘transparent punchout’ capability are:

  • It provides more accurate product information (since it is real time) especially for highly configured items or variable price items without having to continually upload multiple revisions locally.
  • It allows more control over what users can access without having them leave eProcurement and go to an external website.
  • It places the burden of maintaining the catalog onto the supplier instead of the buying organization.

With the introduction of Transparent Punchout to PeopleSoft 9.1, the Requestor now has single point of entry to Supplier Catalogs whether they are stored locally or accessed remotely from a Suppler site or Supplier hub ensuring Contract Compliance, consistent look and feel and increased control over which Products or Services a Requestor can buy.
