PUM 17: All PeopleSoft Time and Labor, Big and Small

By now most of you have probably seen the announcements about HCM Update Image 9.2.17, including the video with the new Image Highlights.  If you haven't seen it you can watch it here:  https://www.youtube.com/watch?v=QgSQ6sfhomo.  While this video is great, there is always more to tell that can't fit into those few minutes that we have on an overview video.

Let's start with the big feature, Workforce Availability is for supervisors or managers to monitor their time reporter's time.  The supervisor will be able to see whether a time reporter clocked in late, clocked out early, or didn't take their lunch break.  There are two views, a Daily Time view, and a Weekly Time view.

The employees can be viewed by categories, such as:

  • Scheduled shows everyone who is scheduled to work that day
  • No Show has punch time reporters who were scheduled but have not reported in
  • Schedule Deviation shows employees who clock in early/late, missed a break or took a short break, or who clocked out early/late
  • Not Scheduled are those employees who were not scheduled to work
  • Elapsed are elapsed time reporters scheduled to work that day
  • Away From Work can hold the four separate sub-categories of Unapproved Absence, Approved Absence, Training, and Comp Time Off.  The Away From Work categories will include Absences both using Base Benefits plans or Absence Management, and the Training items identified can come from either Training Administration or the Enterprise Learning Management system.

The Weekly Time view will only show the Scheduled, Schedule Deviation, and Away From Work categories.  The Weekly Time view also contains Schedule Variance statistics.

Both views allow the supervisor to drill down to see the underlying reported time detail, as well as giving supervisors the ability to easily navigate to other tasks through the use of related actions.

More information on this feature can be found in the following Video Feature Overview found on our YouTube channel:   https://youtu.be/NNf9gG3mnnw.

Another important feature that is now available is the optimization of the Manage Exceptions user experience.   Now Managers can easily clear time entry exceptions whether they are at their desk or on the go.

The last feature I want to talk about is the Time and Labor User Preferences.  It is moving to a central area which will eventually become the home to all User Preferences in HCM.  To get to it go to the Actions List (otherwise known as the Hamburger menu) in the top right hand corner and select My Preferences.

The General Settings and Time and Labor User Preferences are both now located here, and any new User Preferences for HCM will also be added here.  For your users who work in both FSCM and HCM they will appreciate the fact that the two systems will now be the same when trying to find their User Preferences.  We have also added a new User Preference to default the Time Details section as collapsed or expanded when a user enters the Report Time page.

Although not all of these features are big, or "splashy", I like to think that they will make a difference in your user's PeopleSoft experience, and will also show that PeopleSoft is trying to make our customer's lives easier in lots of ways, big and small.

Collaborate 2016 - PeopleSoft Customers Buzzing in Las Vegas

Last week, the Quest International User Group did not disappoint with a busy and eventful Collaborate 2016 at the Mandalay Bay Conference Center in Las Vegas, Nevada.  The 5,700 plus customers in attendance were very engaged and actively contributed to the buzz with PeopleSoft, particularly around the value proposition of upgrading to HCM 9.2 and PeopleTools 8.55.  PeopleSoft customers in attendance was up from last year's conference.  About 70% of the PeopleSoft customers surveyed at the conference were already on 9.2 or in the middle of upgrading. With all the talk about 9.2, there was plenty of focus on how customers are making the most of the PeopleSoft Update Manager tool to selectively adopt new Fluid enabled capabilities, explore new application functionality, and stay current with regulatory/legislative compliance updates such as the Affordable Care Act.  There were also many interesting customer- and partner-led sessions on how to make the most of new 9.2 application features and the new capabilities available with PeopleTools.  Video of the Exhibitor Hall opening up on Day 1 --> https://vimeo.com/questinternational/review/163716762/dcf33ba3fe

PeopleSoft delivers new functionality to support the Affordable Care Act

PeopleSoft continuously provides our customers with new product enhancements and functionality.  Some of the most important functionality that we deliver is to support legislative requirements.  Staying in compliance is essential.  Often times there are huge penalties for non-compliance.  That makes the functionality we deliver even more important.  A recent legislative enhancement that PeopleSoft delivered was functionality to support the Employer Shared Responsibility required by the Affordable Care Act (ACA).   The brand new functionality was designed to support the requirements for the Applicable Large Employer (1094-C and 1095-C) reporting.  This new feature includes functionality in Human Resources, Time and Labor, eBenefits, Base Benefits and Benefits Administration.

The PeopleSoft ACA solution contains but is not limited to:

    • ACA Employee Eligibility Page to store ACA information at employee level.
    • The ability to update the employees ACA Eligibility Status automatically at the time of hire.
    • Delivery of the ACA Eligibility Status as a benefit eligibility rule in the Benefits Administration product.
    • The ability to update employee information quickly and easily using an Excel spreadsheet.
    • PeopleSoft Time and Labor queries and analytic reports to help track employee’s hours.
    • Provides the ability to extract the PeopleSoft data that is necessary for the 1094-C and 1095-C reporting.
    • The capability to load data from third party sources outside of PeopleSoft.
    • The ability to merge the PeopleSoft data with data from third party sources.
    • Online pages to view or manually override the data.
    • History of the changes for audit purposes.
    • The ability to process the 1095-C form both in preliminary and final mode.
    • Administrator view of the 1095-C form online.
    • Ability for the Employee to grant or withdraw consent to receive their Form 1095-C electronically using Employee Self Service.
    • The ability to print the 1095-C forms effortlessly using XMLP PDF process.
    • Provides functionality to create the IRS XML Form Data File and IRS Manifest File.
    • Offers the Benefits Administrator tools/process to support their IRS AATS communication test.
    • Furnishes the Benefits Administrator with a reissue process for when employees receive the 1095-C form and a change needs to be made prior to submitting the files with the IRS.

PeopleSoft is currently working on the IRS correction/void/replacement process functionality. Additional functionality will be delivered as the legislative requirements are defined and as they evolve in the coming years.

The Affordable Care Act is a huge complex initiative. The required data is not always in one location.  That is why PeopleSoft has built this new feature to be not only flexible but functionally complete.  This allows customers to execute the required IRS reporting with ease.  Please see My Oracle Support Document ID 2013421.2 for more information.

Alliance 2016 - A Huge Success for PeopleSoft Customers

Last week, more than 4,000 Higher Education and Public Sector customers converged in Seattle, Washington for Alliance 2016 -- one of the largest annual user group conferences for PeopleSoft.  When you consider the high level of attendance, excitement, and engagement with our customers, the conference was a huge success.  Alliance was packed with thought provoking presentations, product demonstrations, and more than 440 sessions for customers to learn about PeopleSoft success stories on 9.2 including, deploying Fluid self-service, adopting new features, and engaging with our team to drive the continued investment and innovation in the products.

The PeopleSoft HCM Product team kicked things off with the HCM Roadmap session where we learned that more than 60% of the customers in attendance were already live on 9.2, with another 25% currently working on their upgrades.  This underscores the value of the PeopleSoft continuous delivery model, where customers can now expect that every feature shown in our product demos are available to deploy from the latest delivered image or an upcoming image.  Many customers took the opportunity to tell us that they have leveraged continuous delivery for their Fluid self-service rollout, newly deployed WorkCenters, adopting some of the latest HCM features, or for mandatory compliance, security and tax updates.

A few noteworthy conference highlights include:

•A packed house for the Recruiting Solutions update, with many stories of successful 9.2 upgrades and implementations, and lots of excitement for the upcoming Fluid Candidate Gateway.

•A fun and informative update on core Human Resources functionality, which included customer success insights from Sonoma State University and a look the very latest functionality, including enhancements to Guided Self Service

•Rich discussions around how customers are rolling out and using the Payroll and Time & Labor WorkCenters

•Dozens of presentations on topics like Analytics, Position Management, Total Rewards, and many others presented by the PeopleSoft HCM team, partners, and customers

•Many deep dive discussions in Meet the Experts, Birds of a Feather sessions, one on one meetings, with many new customers joining Focus Groups on their favorite features

•Strong interest for planning to deploy PeopleSoft Time & Labor and Absence Management

•Strategic conversations with partners from around the globe who echoed the momentum with PeopleSoft 9.2, Fluid, Selective Adoption, and PeopleSoft on Oracle Cloud

We took the opportunity at Alliance to formally roll out the PeopleSoft Community Ideas page.  With the Ideas page, customers now have a new and improved way of submitting new product ideas and enhancements with the PeopleSoft Product team, where each idea can be reviewed and voted on by all customers from all industries.  The PeopleSoft product team will monitor the results of the voting for each idea posted for consideration on the overall HCM roadmap.  To start using the Ideas page today, log on to My Oracle Support Communities and search for the Doc ID #2048019.1 for additional details.

As our team reflects on the conference, the most resounding take-away was the incredibly strong momentum customers are experiencing with HCM 9.2.  There were many stories of successful upgrades, implementations, and rollout of new features and functions.  It was an energizing few days and a great way to kick off the 2016 HCM conference season. Feedback and Questions from our PeopleSoft HCM Customers

Two weeks ago the PeopleSoft team attended OHUG and HIUG conferences. During our PeopleSoft HCM Roadmap sessions we had customers sharing their experiences with today's PeopleSoft HCM.

Special thanks to Baylor Scott and White, Lucile Packard Children’s Hospital, Northern Trust, State of North Dakota, and Thomas Jefferson University for being on stage with us to show and share what they have been able to accomplish with today's PeopleSoft HCM. Their testimonials were amazing and energizing. Our customers are already capitalizing on the benefits of PeopleSoft Selective Adoption and the new PeopleSoft user experience that can be delivered by adopting PeopleSoft Fluid User Interface (Fluid UI). Margaret Pellarin, Director Human Resources for Lucile Packard Children’s Hospital, demoed her own PeopleSoft Fluid UI Employee Home Page during our OHUG Roadmap session. Margaret said she has already seen the positive impact the new Self Service capabilities have had on her employee base and her organization has a very aggressive plan to keep deploying new self service functionality.

Our customers are going through a transformation process, the same way PeopleSoft is. I recently read an article regarding General Electric (another Customer I met with during OHUG) that made me think of how PeopleSoft has evolved over time. The article stated “At GE, we have stayed competitive for more than 130 years because of our relentless quest for progress on all fronts … a constant reengineering of our business portfolio, operating model, and culture has been a key to our evolution.”

I have been with PeopleSoft for 13 years now. The changes that have been introduced in our PeopleSoft technology stack and applications in the last 5 years are a clear demonstration of modernization and progress and are in my opinion unprecedented. We needed to change our business processes, from strategy, to development, to quality assurance to documentation. We needed to change the way we were doing things at all levels. We had to become more agile to respond faster to changes in the market. It has certainly been a cultural change and not different from what our customers also go through to respond to today’s business challenges.

In spite of all the great innovation, modernization and change in the PeopleSoft products, there are two questions that are always lingering in our customers’ minds:  “What is the future of PeopleSoft” and “Is there an end of life for PeopleSoft?” I got those questions several times during OHUG and HIUG conferences.

One of the reasons customers ask that question is Cloud. The message some of our customers are getting is that for them to respond to their business challenges and to satisfy the needs of their digital workforce they need to move to cloud. Cloud was one of the reasons why PeopleSoft needed to change. For PeopleSoft to remain competitive we also needed to address the business needs Cloud solutions are addressing: faster pace of innovation, lower cost of ownership, and a modern and engaging user experience. PeopleSoft leverages the R&D Oracle does for its Oracle HCM Cloud products and it's extremely beneficial for the PeopleSoft products.

Many of our customers are now running PeopleSoft on private Cloud and this allows them to take advantage of some of the benefits of a cloud type of environment while still having the ability to leverage their in-house PeopleSoft skills and knowledge. As I communicated during my sessions at OHUG and HIUG, our customers will soon see some amazing PeopleTools enhancements that will benefit IT groups who offer PeopleSoft services (being your own IT department or a Service Provider). They will benefit from capabilities such as auto deployment of test/development environments, auto scaling based on load, and more. There is no end of life for PeopleSoft and it is Oracle's intention to keep modernizing and innovating PeopleSoft so you can address today and tomorrow’s business needs using our products. More and more of our customers are now using PeopleSoft HCM and using Oracle HCM Cloud, because they are getting the best of both.

Carrie Jo Howard, System Director at Baylor Scott and White, shared a very interesting story with the audience at HIUG. Carrie and her team needed to go through the HR software selection process twice. First when they were Scott and White and then after they merged with Baylor. In both opportunities, after detailed analysis they chose PeopleSoft HCM. Carrie shared with the audience at HIUG that although she and her team certainly liked the bells and whistles of some new software packages, they knew how strong PeopleSoft HCM was since they had already looked at it 'under the covers.' She also knew what they were now getting with the new Selective Adoption Model and Fluid technology that gives them the 'bells and whistles' her organization wants and needs. Baylor Scott and White also uses some of our Oracle HCM Cloud products that are integrated with Peoplesoft.

I encourage PeopleSoft customers to talk to other PeopleSoft 9.2 customers so you can get the information you need to make the right call for your organization. The PeopleSoft HCM team will keep working for and with you! Thanks to all our customer for the great conferences in Vegas.

PeopleSoft HCM 9.2 Update Image 9 is Now Available! - Simple and Intuitive User Interface on Multiple Devices

The PeopleSoft HCM team is proud to announce that Update Image 9 for PeopleSoft HCM 9.2 is now available!

This Update Image is the largest and most impactful PeopleSoft Update Image posted to date. This cumulative Update Image includes all new features and fixes from previous PeopleSoft HCM Update Images as well as a plethora of new items including multiple PeopleSoft Fluid User Interface enabled HCM transactions ready for any mobile device.

Optimized across multiple platforms including smartphones, tablets and laptops/desktops, the new PeopleSoft Fluid User Interface (Fluid UI) provides an intuitive and responsive user interface that provides native-application interactivity across a range of mobile operating systems and devices. With more than 50 new features and functions, Fluid UI provides employees, managers and executives with a familiar native user experience that helps maximize productivity and effectiveness while eliminating the need for training.

It is our goal to provide you with new functionality that is intuitive and simple to use, increasing your productivity while lowering your total cost of ownership. You will see those goals realized with the new HCM homepages. This new functionality provides the user with an easy to use application that is configurable so you can determine what homepages and tiles you want to see based on your organizational needs. Some characteristics and functionality of delivered fluid homepages include:

    • PeopleSoft delivers two out-of-the box homepages (Employee Self Service and Manager Self Service) with the ability to create your own.
    • You can navigate from one homepage to the next by simply selecting the page you want or swiping to the left (on a tablet or phone).
    • Each homepage contains tiles. You have the ability to add, remove and control the placement of the tiles. You can also share tiles across multiple roles and landing pages.
    • Users will be able to view key information at a glance that is dynamic and data displays on tiles.  The user can click or tap on tiles to access the associated content.

On the Employee Self Service homepage your employees will have easy access to your company directory with just a quick tap or click on a tile. Your employees will also be ability to view and update their personal or talent related information. They can enter time in Time and Labor or request time off in Absence Management. It provides the employee with easy access to other key information such as viewing their paycheck, benefits, performance documents, and their total rewards.  The learning tile is for those customers that use the Enterprise Learning Management (ELM) application and it will provide announcements, a to-do list, and provide the employee with a listing of courses they are currently enrolled in.

Managers will also have easy access to the company directory from the Manager Self Service Landing Page. Managers will also be able to view and perform other tasks such as reviewing HR information, employee punched and elapsed time, absence requests, and is automatically notified when approvals are required. The manager will also be able to view other important information including team performance information and learning information such as overall enrollment and completion of learning courses. For those customers that use PeopleSoft Recruiting your current job openings and details is just a click or swipe away.

HR transactions are also now much easier with the new Guided Self Service. This configurable application allows organizations to create any number of “compound” transactions by combining multiple transactions into one easy to use guided process that walks the user through step by step, capturing the exact data needed to complete the transaction.

WorkCenters and Embedded Analytics are another great example of how users can be more efficient and productive. Payroll for North America delivered the Payroll for North America WorkCenter. This is a one stop shop for the Payroll Administrator to process payroll. The WorkCenter provides the administrator with alerts and analytics to help identify errors prior to a payroll going out the door.

Update Image 9 also delivered new Analytics in other areas such as Time and Labor and Absence Management allowing you to get more insight, spot trends and issues, and have the opportunity to take action with ease.

Several other enhancements were included in Update Image 9 and we encourage you to take a look at the Update Image to see the new functionality/enhancements in PeopleSoft HCM!

OHUG PeopleSoft HCM Roadmap session: Is PeopleSoft HCM a Modern HR System?

There is a lot of buzz in the HCM market around Modern HR systems. During OHUG, we wanted to make our Customers pause and think about that. What is a modern HR system? Is PeopleSoft HCM modern?

As you all know, PeopleSoft HCM has been in the market for more than 20 years. For some of you that could translate into PeopleSoft HCM being an old system.  We instead think of PeopleSoft HCM as a mature, proven and reliable system. PeopleSoft HCM has reinvented itself several times since its first release in 1987. Our products did not stand still. They needed to evolve and transform to respond to the challenging HR business needs.  Take a look at the 2013 American Payroll Association Prism Award. Each year, the American Payroll Association honors organizations based on best practice achievements in Technology, Management, Processes, Performance Study and Overall Best Practices. Three out of the five awards went to PeopleSoft HCM Customers (Hackensack University Medical Center, Capital One and Gap Inc). Also, HR Executive Magazine selected the 2013 CHRO of the year. The award went to Mark James, CHRO of Honeywell. Honeywell uses PeopleSoft HCM which has enabled Honeywell HR transformation process.

Do you use Microsoft Office? Microsoft Office first release (Office 1) came out in 1990. Do you think about Microsoft Office as an old product?  Office 1 is certainly “old”, the same way PeopleSoft HCM 7.5, 8.0 or 9.0 are “old” based on today’s standards. But the products did not stand still, they evolved and kept being  leaders in their space, even when you have other options.

So,  what is the definition of modern HR System? For us modern system implies the following characteristics:

    - Easy to use
    - Mobile
    - Open and integrated
    - Configurable and Customizable
    - Contextual information/analytics
    - Flexible and with low cost of maintenance

Most of you have already got visibility into the 9.2 release. You have seen that 9.2 has already moved the needle on these areas and started a paradigm shift. The 9.2  Release changed the way users interact with PeopleSoft HCM, making it simple to use through the use of Global Search, Search with facets, Related actions and Guided processes. Users get access to role-based workcenters and dashboards that are tailored to their needs, with embedded analytics that allow them to analyze information and take contextual action. All based on your role and respective security access.

With our 9.2 release we also introduced the new delivery model which includes delivering new functionality two to three times a year and making maintenance plus new functionality available through product update images that are cumulative. That means that if you are in 9.2 you can now take a look at the latest product image and decide what you want to deploy in your environment and when. You don’t have to take everything we deliver if you don’t want to, and you can selectively pick and choose what makes sense to your organization.

During OHUG we showed and demoed what we have delivered in the latest product images as well as what we are planning on delivering during the rest of this calendar year.  Several of the new applications and new capabilities to be delivered are being built with Peopletools 8.54 Fluid technology. The paradigm shift that started with 9.2 is now taking another dimension and completing the modernization of PeopleSoft HCM.  PeopleSoft Responsive and Fluid design allows PeopleSoft HCM to have applications that can be optimized for multiple devices - phone, tablet and desktop -. It doesn’t matter what size of monitor you have, or what type of tablet, or which phone. Our applications will render and adjust to the device you are using. Some of the applications we demoed at OHUG were: Mobile Approvals, Time and Absence Entry,  Manager Self Service with the new My Team View and Guided Self Service, Employee Self Service with new Personal data / profile self service capabilities.

What of these new capabilities or features would you like to uptake? With our new delivery model you can decide that. You can take one feature, a couple, everything or nothing. If you are on the most conservative side of the spectrum, you can decide not to take any of these new responsive/mobile applications and just take some the critical legislative changes your organization needs (e.g.: OFCCP, DOMA, or others).  If you are running PeopleSoft HCM in a private cloud model, you can have your service provider deploying and managing this for you.

So … Is PeopleSoft HCM a modern HR system? We are convinced the answer is YES!  And you have the power to decide if you want to modernize your PeopleSoft HCM environment.

Configuring HTML Email Approval to Meet Your Needs: What Organizations Need to Know About Configuring HTML Email Approval and How to Use It

Today's workforce is fundamentally different and no longer limited to the office.  Mobile devices are integral companions in today's modern work life.  HTML Email Approvals provide the always-connected manager an effective method of monitoring and staying on top of approval requests. For example, a manager is often required to approve last minute requests such as vacation, sick, maternity leave, expense report, promotion, or other tasks while he is away from his office.

PeopleSoft HTML Email Approvals facilitates the mobile managers the ability to review and take approval actions without the need to log into their system to perform the tasks. The HTML approvals are delivered templates that enable the PeopleSoft application to send, receive, and process emails with interactive content.  The managers will be able to take approval actions without having to connect through the firewall/intranet or log into a Virtual Private Network (VPN) to access the PeopleSoft system.

The HTML approvals can be access from any email client (e.g. Microsoft Outlook, Mozilla Thunderbird) and using various devices (e.g. laptop, smart phone, or tablet).

    HTML Email Approvals

HTML Email Approvals works in conjunction with PeopleSoft Approval Workflow Engine (AWE).  The approval email is generated when a user triggers an action such as submitting a vacation request (see Figure 1).  The action is processed using our PeopleSoft Integration Broker.  When the manager opens the email, the manager will be able to approve, deny, or push back on the pending request.  The process is transparent to the everyday manager and the transaction is securely updated using PeopleSoft single sign-on and Integration Broker.

Announcing the General Availability of PeopleSoft In-Memory Labor Rules and Monitoring

Organizations are often challenged to increase workforce productivity while managing operating costs, regulatory compliance and employee satisfaction. With inevitable variations between planned and actual labor costs, this balancing act is reliant on organizations being able to fine tune their human capital operations based on real-time business needs. To address this challenge and help organizations achieve a competitive advantage, Oracle has delivered strategic, timely information, focused on the time and labor management process, to managers and HR decision-makers with a new Oracle In-Memory Application for Oracle’s PeopleSoft. Designed to leverage the power of Oracle Engineered Systems and Oracle’s industry-standard PeopleSoft HCM applications, PeopleSoft In-Memory Labor Rules and Monitoring empowers organizations to effectively manage labor costs and policy rules in real-time.   The solution complements PeopleSoft's existing Time and Labor solution.

PeopleSoft In-Memory Labor Rules and Monitoring enables organizations to:
    • Leverage predefined, easily understood labor policy rules using natural language
    • Use Oracle Policy Automation to create or modify existing rules to simulate, test, and deploy to production
    • Empower managers to make more strategic decisions around employee time and labor by understanding exceptions and trends in overtime, absences, schedule deviations and other related labor data.
    • Improve profitability and optimize resources by harnessing real time data on business needs and labor costs as it occurs.
    • Reduce the risk and cost of non-compliance with labor regulations by pre-delivering labor rules, such as overtime rules.
