Applicant Communication for Successful Recruiting

Today candidates expect open communication with potential employers.  PeopleSoft has added two new communication enhancements that can be used at the beginning of the candidate process.  First is an email notification at the point of registration, second is a reminder for candidates who have not completed their application. 

Both notifications are set up on the Careers Site giving you the flexibility to have different notifications for different sites.  Below you can see the page for the set up. See Image 30 Highlights for a demo.

The Registration email is automatically sent once the Candidate completes the registration. Some things that you might want to include in your Registration Notification include:

  • how to change your password
  • how to use secret questions
  • high level overview of your application process
  • any information that your organization may feel is important to avoid questions later on

Here is the sample that I used at the PeopleSoft Quest Reconnect Conference in July. I used a logo and different colors just to illustrate some of the configuration possibilities.

I’m sure your Recruiting Administrator has come to you in the past asking about the candidates that started an application but never submitted it.  Did the candidate start the application and just forget to finish it? Did the candidate not know he/she had to click on the Submit button? 

I know that a number of our customers created their own notification for Candidates in draft mode.  If you are one of them, hopefully you can easily replace your customization with this enhancement.

Just like the Registration Notification, you can create your own email to remind the Candidate that the application must be submitted in order to be considered for the job opening.  You determine the number of days the application is in draft mode before the email is sent.  If you use closed dates on your job openings, the process will also look at the close date and determine if an email should be sent.  The last thing you want to do is send an email and the job is closed. You may use the unsubmitted Jobs Reminder Run Control Page (HRS_RUN_APP_NOTIFY) to schedule the notification to the candidates. The candidates will only be reminded once per job opening.

Customers that have taken up the email notifications have reported the number of applications that remain in draft were reduced and also saw a reduction in the number of calls from newly registered Candidates asking for information about the recruitment process. We see the importance of easy communication from the Recruiter to the Applicant and expect more enhancements in the future.
