Founded in 1960, Gray is a family-owned, fully integrated global service provider specializing in engineering, design, and construction. Deeply rooted in these services, Gray serves both domestic and international customers across their core markets: food and beverage, manufacturing, automotive, distribution, mission critical, and commercial.

Gray is consistently recognized as one of the leading providers of engineering, design, and construction services across markets as evidenced by their impressive list of awards and rankings.

As Shawna Palmer, compliance specialist with Gray says, “The efficiency we gain from Oracle Textura helps us manage our rapid growth.”

Efficiency is key to supporting rapid growth

Oracle Textura, a construction payment management application that helps general contractors, owners, and subcontractors simplify and automate the draw process, was first implemented at Gray in 2014.

Gray uses Oracle Textura to manage the construction payment process. This includes:

  • Invoicing linked to each contract's schedule of values
  • Collecting, tracking, and managing electronically signed invoices, lien waivers, and sworn statements
  • Automated workflows for approvals
  • Secure digital exchange of current, unconditional, and e-signed lien waivers for payments
  • Disbursements via Automated Clearing House (ACH)

Oracle Textura boosts efficiency throughout the process by automatically generating accurate invoice documents, eliminating manual and paper-based work, and thus reducing errors and delays. With no back-and-forth to correct errors, draw cycles are shorter. Oracle Textura also helps to mitigate risk with controls on legal, regulatory, and compliance requirements.

“When I started here, we were still printing pay apps on paper and now we've completely moved away from that. Oracle Textura has really streamlined the process and helps us handle the volume."

—Sarah Banks, Subcontractor Payment Coordinator, Gray

“When I started here, we were still printing pay apps on paper and now we've completely moved away from that,” says Sarah Banks, subcontractor payment coordinator at Gray. “Oracle Textura has really streamlined the process and helps us handle the volume. That’s a big plus.”

Security means peace of mind for general contractors and subcontractors alike

From early on in the use of Oracle Textura and to this day, security of data and particularly around banking information has always been top of mind for Gray. With Oracle Textura, customers can review changes to their organization and account information. They can see login attempts, audit activity, and user profile changes. Automatic notifications are sent to administrators when bank information is changed with an option for general contractor to automatically set payment holds. Subcontractors manage their own banking profile.

Quick electronic payment makes for happy subcontractors

Electronic payment has become ever more important to subcontractors, and Gray uses the Oracle Textura capability to simplify and expedite payments using ACH payments.

As Stoll says, “The subs that work regularly with us, or they work with multiple GCs that use Oracle Textura, ask for the ACH payment.”

Adds Palmer, “Payments can be done within minutes. That’s a big plus for our subcontractors.”

Helping get through COVID

Oracle Textura helped many companies through COVID since it had already digitized many of its processes. These applications automate what had previously been manual, eliminate paper, and reduce the need for in-person transactions, such as what previously might have been a subcontractor providing a physical signed lien waiver and receiving a paper check.

“Because we already had it implemented, we didn’t have to come up with something new when COVID hit,” says Palmer.

Adds Banks, “There was a peace of mind that we already had this system, and everyone already knew how to use it.”
