Keywords in Class Search in Campus Solutions 9.2

Campus Solutions 9.2 Class Search  and Elasticsearch The introduction of Class Search and Browse Catalog  using the PeopleSoft Search Framework and the Elasticsearch engine in delivered Fluid pages represents new core functionality for our CS 9.2 customers.  Our goal is to provide a modern search feature that delivers an intuitive ui and consistent search results for your users.   Campus Solutions has been actively engaged with customers as they focus on implementing Elasticsearch/Class Search as part of the upgrade to Campus Solutions 9.2.  As usual, we have received extremely productive feedback, suggestions for enhancements, and of course Service Requests that require our attention.  We have been continually working with our CS Support team on Service Requests and bug fixes that have been reported related to ES/CS.  So far we have addressed a number of reported issues and in most cases a POC has been delivered prior to a targeted PUM Image.  Our CS team in Global Support is working closely with Peopletools Support engineers to track and resolve issues where necessary. One item that we have enhanced for our Campus Solutions customers is the way in which keywords are used when searching for classes. CS 9.2:  How keywords work and how we have enhanced them in PUM Image 7 Class Search powered by the PeopleSoft Search Framework and the Elasticsearch engine starts with a either a keyword look up: or by using the convenient link, Additional Ways to Search: While testing Class Search with Elasticsearch, one fundamental issue that our customers encountered is how Elasticsearch recognizes keywords entered by users.  The Elasticsearch engine performs what is called stemming when a word is entered into a search.  For example Psychology is trimmed to the stem word “Psycholog”.   When entered into a hypothetical Class Search, it would return a large number of classes that includes PSYCHOLOGY and PSYCHOLOGICAL in their Subject, Course Title, Course Topic (Class Search also looks at Catalog Number and Class Number).  We all know that students looking for a class on a smartphone are probably not going to take the time to thumb type PSYCHOLOGY into the keyword field .  They're going to enter "psyc" or "psy".    However, in Elasticsearch, if a user enters “Psyc” for a search, it decides that there is no “stem” word and it uses “Psyc” as a keyword and will only return results that match exactly to Psyc.   When we initially tested Elasticsearch with Class Search, entering Psyc returned NO results1 using Elasticsearch even though we had plenty of classes that contain Psych, Psycho, and Psychology etc.  One would reasonably expect to enter Psyc and see classes that include the word Psychology in its title; but that is NOT the case with Elasticsearch as its delivered.   In order to address this, in CS 9.2  PUM Image 7, we have enhanced the Campus Solutions delivered search procedure by providing an App Class which contains coding that adds a wildcard “*” to a search character or numeric string when its entered in the Keyword field.  This additional logic returns consistent and intuitive results without the user having to remember to add the wildcard character.   The wildcard character is transparent to the user. (“PSYC” becomes PSYC*, “Socio” becomes Socio*.)  We have NOT modified the search logic that is delivered with Elasticsearch. We have validated this approach with two customers one of whom as gone live with CS 9.2 and has deployed CS 9.2 Fluid Class search. Quick Guide to Campus Solutions 9.2 PUM Image 7

The CS 9.2 PUM Update Image 7 is now available from the PeopleSoft Update Manager (PUM) Home Page (MOS Doc ID 1641843.2) by selecting the Update Image Home Page tab and choosing Campus Solutions Update Image Home Page.  Contents of CS 9.2 PUM Image 7 (CS 9.2.007) are highlighted in the PeopleSoft CS 9.2 Update Image Overview document available at (Doc ID 2116071.1). Many of the features delivered in CS 9.2 PUM Image 7 are demonstrated in the video: Campus Solutions 9.2 PUM Image 7 Feature Highlights.  Look for all our Campus Solutions videos on the Oracle Higher Education channel.  Summary of highlighted features delivered in CS 9.2 PUM Image 7:  Admissions Fluid Approvals and the Fluid User Interface provide an easier, more intuitive way for an Admissions administrative user to take action on admissions applicant requests. Along with Fluid approvals, approval pages have been created with Page Composer, allowing for  modification of the page layout. Three Fluid approval pages are delivered to support approval transactions: Defer Request, Change Program/Plan, and Withdraw Application. New setup controls enable institutions to permit applicants to change their responses after having either accepted or declined an offer of admission. Institutions can set up a date or time period during which this action is permissible Academic Advisement Updates to the self-service Academic Advising Setup page include the option for real-time processing to automatically create an advisement report if one does not already exist.  This update applies to both the Classic and Fluid user interfaces. Configurable access control to advisory notes provides the  ability to manage and restrict user access on self-service and administrative Advising Notes pages.  Access control is provided at each note category and can be based on user, role or primary permission list. Access can be granted to view, update, and create notes with additional super user access to the back office advising notes page. Campus Community The Fluid User Interface is updated to enable more Fluid pages for use with activity guides: IPEDS Ethnicity, Ethnic Background, Privacy Restrictions, and Biographic Details. New Fluid pages enable students to view their completed agreements that were deployed to them with activity guides. The Fluid Task Details page is updated to display variable data fields for Checklists. The Organization is displayed for checklist items with an Item Association of Organization. Updates to the Ethnicity Setup page for Fluid self-service allow the display of ethnic groups from regulatory regions besides the US. This enables non-US institutions to utilize the Ethnic Background page. Biographic fields can now be defined in FERPA Control which in turn allows students to set up privacy restrictions. Enhancements to the Constituent Transaction Management (CTM) staging component and processing supports the collection of Gender identity data and other data from external sources using CTM. Financial Aid The Financial Aid Shopping Sheet is a standardized form that simplifies the information that prospective students receive about costs and financial aid when making  informed decisions about enrolling in a school. New pages in Financial Aid Fluid Self Service support a student's ability to view their Financial Aid Shopping Sheet. Student Records Faculty Center and Milestone List Details are updated to display the preferred names of students, instructors and advisors in classic pages. As usual, every CS PUM Image delivers a number of regulatory updates and PUM Image 7 is no different and includes: A new Australia Tax File Number (TFN) verification field is added to the Person Data-Australia Record to indicate whether a TFN has been verified by HEIMS and the ATO. In support of the feature, the Population Update process is also updated with new object items. Per SEVIS Release 6.33, the following fields are required and now delivered, for the OPT Employment Extend event: EIN and Supervisor Information (SupervisorLastName, SupervisorFirstName, SupervisorPhone and SupervisorEmail). In accordance with SEVIS Release 6.33, validation errors are triggered for Create Student if an invalid Issue Reason is used, or when Issue Reason is Change of Status and a US Address is missing. The SEVIS Master - Employment/SOA is updated with the Extension Employer check box in the Employer Details region. Victoria Tertiary Admissions Centre (VTAC) Regulatory Updates (Australia): Regulatory updates for Admission Year 2016–2017 include 3 new columns: Overseas Equivalent (x2), Post-Secondary Award Name and Proof of Completion. Deliverables include the ability to enter tax year 2016 information for Aid Year 2018-2019, perform online and batch consolidation, compare and update Federal ISIR applications for Aid Year 2018-2019. 2018-2019 Aid Year updates for INAS Federal (FM) and Institutional Methodology (IM) provide computational support and modifications in processing logic to support 2018-2019. 2018-2019 Aid Year updates for ISIR include changes to the file layout, and new pages to help load and manage these ISIR files. Campus Solutions 9.0 October 2017 Bundle #47 available

  Campus Solutions 9.0 October 2017 Bundle #47 is now available and includes: Admissions Victoria Tertiary Admissions Centre (VTAC, Australia) regulatory updates for Admission Year 2016–2017 include 3 new columns: Overseas Equivalent (x2), Post-Secondary Award Name and Proof of Completion. Tips and Lessons from successful Campus Solutions 9.2 upgrades

We are asked all the time about the upgrade experiences of our customers to Campus Solutions 9.2.  Questions include: which institutions have upgraded, how long did the upgrade take, how was it managed, and what are the “take aways”.  I have asked some of our customers who have upgraded a number of these questions.  I would like to pass along some of the lessons learned, tips, and experiences that they have shared with me. The University of Wisconsin Greenbay went live on CS 9.2 initially in about 8 months.  Mike Bubolz, the CS 9.2 Upgrade Manager shared three lessons: Create a separate testing area (get people out of their offices). Make sure to have end-user support for testing and the upgrade window. Learn PUM; maintenance will be very different going forward. Lidia Anderson from Central Washington University emphasized the importance of managing potential disruptions associated with the upgrade.  They kept the university community informed with continual announcements, sponsored mini presentations for staff around campus, and presented a project overview to every College and to their satellite location.  In addition, they produced training videos for various user groups (e.g. students, staff), posted them on the project web page and supplied links on the MyCWU landing page.  A similar tactic has been used by the University of Southern Queensland.  One of the first institutions to upgrade to CS 9.2, USQ has posted a really cool video announcing their implementation of the Fluid UI to their students.   Kristin Humphreys, Manager (Student Systems) | Student Administrative and Academic Support, told us there’s a lot of excited users and you can see why by taking a look at: https://youtu.be/uR2OL76-RnQ. In July, 2017, the Kentucky Community and Technical College System (16 colleges statewide) successfully upgraded to Campus Solutions 9.2.  Paul Czarapata, KCTCS CIO shared that change management of project team members on the fluid user interface took longer than anticipated.  To address this he suggests:         Conduct a “Bootcamp” for project team members on the Fluid user interface in the beginning phase or prior to the upgrade.        Ensure development teams are given ample time to learn the “ins and outs” of Fluid.        If possible, go the route of using an upgrade lab and full time project manager.        Conduct more testing, get feedback from a wider audience of users very early in the project. Throughout Summer and Fall of 2017  we are seeing an ever increasing number of institutions not only completing the upgrade , but also implementing Fluid, Elasticsearch, and a number of other features that make Campus Solutions 9.2 a valuable and worthwhile investment.  Watch this space for updates as we follow and report on further progress.

Delivered tasks include requesting a deferral of admission, withdrawing an application, and requesting a program or plan change.. Wait-List actions are now also included in Fluid Applicant Self Service. The administrative processing for review and approval of applicant change requests uses the PeopleSoft Approvals Framework. Academic Advisement Student Self Service users can now view their planners, move planned courses within terms, delete planned courses, and add courses from Course Search and from their Academic Requirements on delivered Fluid pages.  Users can also enroll in planned courses using new delivered  pages.  Fluid Enroll by My Requirements page displays a high-level view of a student’s academic requirements which can be used to add courses to the planner or view a list of class options for the course and select a class in which to enroll directly. Updates to the Academic Advising (AA) Self Service setup options allow institutions enhanced control of how and when AA Report data is refreshed on AA Fluid pages. Campus Community The setup and display of newly introduced Biographical fields on the Add/Update Person component include the ability to define and deploy data fields, field labels, and valid field values across multiple sections under the Biographic tab on the Fluid Self Service Biographic Details page.  This feature allows customers to configure data fields for Gender Identification, Sexual Orientation, Personal Pronouns and others to meet institutional data collection needs. New setup pages in Campus Community support this flexible feature. National ID prefix data is required for a UK National Insurance number. Campus Mobile 5.3 supports uptake of the latest MAF release 2.4, that includes support for Xcode 8. Financial Aid New Fluid features enable a student to report aid received from outside sources and see when it gets processed by an Aid administrator.  Students can view information about Need Summary, Cost of Attendance, and Expected Family Contribution on laptops, tablets and desktops. Student Financials Enabled Common Attribute Framework (CAF) functionality on the Student Financials Waiver table (WAIVER_TBL) provides institutions, the ability to  create and assign data fields without customization. This allows customer to group waivers into specific categories for better financial reporting and planning. Student Records The Browse Course Catalog feature allows searching for courses using the PeopleSoft Search Framework and the Elasticsearch engine, on mobile phones or desktops and laptops. Users can search the Course Catalog using keywords and can filter search results by Course Career, Academic Organization, Campus, Typically Offered and Units. Utilities and setup pages supporting Browse Course Catalog are also delivered.  The Class Label utility enables deployment of additional information to  users in Class Search and Enroll.  Setup options allow users to configure class sections to appear in class search results. These options include setting the display for the component abbreviation code or a label, adding labels for class number and class section and specifying  a separator character. This setup also applies to View My Classes, Shopping Cart, Drop Classes, Update Classes, and Swap Classes which also use the Class Label utility. Accessed from the Academic Records tile on the Student Homepage, View Unofficial Transcript provides users with the ability to  request and view a PDF version of their unofficial transcript online using smart phones, laptops and desktops. Each time an unofficial transcript request is submitted, the report is stored and can be viewed at a later date or deleted by the user. Students with service indicators on their records can be prevented from generating an unofficial transcript. Activity Management enhancements allow updates to the result status of multiple students in the Self Service and Admin Result Roster pages. Updating the result status for multiple students is allowed only for students with existing results. As usual, every CS PUM Image delivers a number of regulatory updates and PUM Image 6 is no different and includes updates to:  Admissions: Universities and Colleges Application Service (UCAS, UK) updates for the 2018 admissions cycle allow for the display of New Window and Personalize Page links. Admissions: Regulatory updates for the UCAS 2018 admissions cycle include changes to UCAS and UTT processing. Student Financials: Modifications to the 1098-T processes incorporate 2017 legislative changes. Student Records: Updates to HESA reporting for the Unistats for 2017- 2018 include removal of fields and the Course Stages entity, and updates to field derivations to handle the removal of KISTYPE from the return. US Financial Aid Updates: 2017- 2018 Aid Year updates for FISAP enable reporting of 2016-2017 Aid Year data in order to apply for campus-based funds for the 2018-2019 Aid Year. 2018-2019 Aid Year updates for PROFILE  incorporate the new schema and the 2018-2019 PROFILE Data File Layout.  Updated session override functions for Return to Title IV funds. Removed override fields in Session Details. When a return funds calculation is performed, you can adjust it using overrides provided in the Period Summary group box. Attending Alliance Regional Conferences: Valuable information near you!

One of the things we look forward to in the summer and autumn months is our participation in the numerous regional Alliance Conferences sponsored by the Higher Education User Group (HEUG). While the annual Alliance conference is the signature event at which we participate, the regional conferences offer the opportunity to deliver sessions and answer questions as we engage with our customers on a much more informal level.  I even get to attend sessions on delivered functionality conducted by customers as they explain how they have implemented delivered features at their institutions.  At the inaugural Northwest Regional User Group (NWHEUG), Robert Kempel from Central Washington University gave a great presentation on how CWU is using and extending Campus Solutions Advising Notes. Student Records  The Fluid Enrollment Swap Classes feature enables students to exchange existing classes in their class schedules using different sources to identify the classes to be added. A delivered activity guide helps the student complete the swap process.  Using PeopleSoft Search Framework–Elasticsearch, the Fluid Additional Ways to Search feature allows students to choose a course subject from a dropdown list, and enter a course catalog number and an instructor last name. The Fluid Update Classes feature enables students to update classes within a schedule, changing optional components or updating class preferences. A delivered activity guide helps the student through the Update Classes process. Additional supplemental documentation for CS 9.2 Upgrades

The re-certified PeopleSoft Campus Solutions 9.0 to 9.2 Upgrade was released on January 12, 2017. We announced the availability of the recertified upgrade and provided relevant information in the blog post Campus Solutions 9.2 Re-certified Upgrade Now Available. The PeopleSoft Campus Solutions 9.2 Upgrade Source image CS 9.2.001 contains any delivered fixes, regulatory updates, enhancements and new features delivered into the CS 9.2 code line through PUM Image 3.  CS 9.2 PUM Image 3 (released on 11/1/ 2016) is equivalent to CS 9.0 Bundle 43 (released 10/28/2016). Using a certified upgrade ensures that your upgrade is predictable and successful. Campus Solutions 9.2 re-certified upgrades are targeted to be delivered once each calendar year. However, many of you have asked the obvious question, “How do I manage the upgrade when my CS 9.0 bundle level is higher than the one aligned with an upgrade source image?”  In this case, many of you have applied CS 9.0 Bundle 44 (released 1/27/2017) to your production database, but you’ll want to use a copy of that for your upgrade.  Since re-certified upgrades are only delivered once a year, this will be a pretty typical scenario. Good news:  help is available!  The Campus Solutions Upgrade team has produced two documents which you can download from My Oracle Support that are contained on the PeopleSoft Campus Solutions Upgrade Home Page (Doc ID 2078564.2, CS 9.0 to 9.2 (Through Update Image 3) tab, Upgrade Documentation and Templates Supplemental Documentation).  First, Maintenance Guidelines for Campus Solutions 9.0 to Campus Solutions 9.2 Upgrade provides instructions on applying  maintenance updates against your source database depending on your Copy of Production database’s regulatory/maintenance update level. The processes can be run on individual instances or batches from the Task Management Work Center. Common Attribute Framework Updates: The Common Attribute Framework (CAF) is an innovative feature that allows customer implementation teams to easily add fields to existing tables via configuration rather than modification. The following tables are now CAF-enabled: • Academic Program  • Academic Plan Table  • Academic Subplan Table  Financial Aid Fluid Financial Aid Disbursements: Accessing, viewing, and managing Financial Aid information is extremely important for students.   New delivered pages in FA Fluid Self Service support the display of Disbursement related information in a variety of different formats including by Aid Year, Award Period and Term. Updates to other existing pages with disbursement information ensure that the information is readily available to the user from mobile devices.  Financial Aid Population Update/Population Selection Additions: The following records have been added or enhanced and can be updated using the Population Update process: • Student Aggregate Life  • Loan Origination  • Fiscal Item Type Table  • Fiscal Item Type Comments  • Official Residency Data  • Loan Counseling Information  • Student Award Period   The following processes now include Population Selection as a selection criteria: • Pell Payment Origination • Direct Loan Origination Student Records  • Class Search:  We are introducing an entirely new class search feature with the CS 9.2 Self Service Fluid UI. To deploy modern search capabilities we are using the PeopleSoft Search Framework with the Elasticsearch engine to support the use of keywords, wild cards, configurable filtering criteria, sorting, favorites (courses), and “recently viewed” features to allow students to easily identify a class for enrollment.  Campus Solutions has provided comprehensive setup to configure and manage new delivered class search functionality.   However, customers will need to deploy Elasticsearch and also configure the server that supports it when implementing. CS 9.2 Class Search requires a minimum of PeopleTools 8.55.12.* • Fluid Class Enrollment:  Once courses have been identified in the search results, a student can navigate and view class section details and select the desired class and its components for enrollment.  For multiple component classes, new logic has been delivered that displays all of their scheduled combinations making accurate selection easy for the user. After selecting the class, the student follows a delivered Enrollment Activity Guide designed to assist users as they complete the enrollment process.  While the shopping cart can still be used to gather classes and enroll, we are also introducing a configurable option that allows a student to submit the class directly for enrollment.  • View Class Schedule: The class schedule is a read-only page that displays all of the classes (in a list or calendar view) the student has enrolled in, dropped or waitlisted.  Students can review meeting or class details including instructor information.  • Drop Classes: This provides an easy and intuitive way for students to drop classes from their class schedule using a delivered Activity Guide. *Note:  To learn more about the technical requirements for Elasticsearch, you are encouraged to visit PeopleTools Elasticsearch Home Page in My Oracle Support (Doc ID 2205540.2) and the PeopleSoft Information Portal’s Key Concepts Search section.  As usual, every CS PUM Image delivers a number of regulatory updates and PUM Image 4 is no different and includes updates to:  The Australian regulatory requirement Unique Student Identifier (USI). In order to provide our global customer base with sustained upgrade support, Oracle has released the re-certified PeopleSoft Campus Solutions 9.0 to 9.2 Upgrade on January 12,  2017. The PeopleSoft Campus Solutions 9.2 Upgrade Source image CS 9.2.001 contains any delivered fixes, regulatory updates, enhancements and new features delivered into the CS 9.2 codeline through PUM Image 3.  Here are some details: Campus Solutions Upgrade Source Image CS 9.2.001 will be available on My Oracle Support (MOS) at the PeopleSoft Upgrade Source Images Home Page (MOS Doc ID 1552580.1), Campus Solutions Upgrade Source Images link. Information on obtaining the upgrade templates and upgrade documentation can be found on PeopleSoft Campus Solutions Upgrade Home Page (MOS Doc ID 2078564.2). Minimum Requirements for Upgrading: Customers using Campus Solutions Upgrade Source Image 9.2.001 will need to be on minimum Campus Solutions 9.0, Bundle #34, HRMS Bundle #25 and PeopleTools 8.54 or higher before commencing their upgrade. A look at Pivot Grids in Campus Solutions

Brian Bottcher also contributed to this blog article.   Pivot Grids offer a robust way to visualize data that’s easy to use for your administrative users.   You’ve probably seen demonstrations or even used Pivot Grids in PeopleSoft Campus Solutions.  However, it’s been suggested that a great way for our customers to obtain hands on experience with Pivot Grids is to deploy an example to CS 9.2.  With CS 9.2 PUM Image 3 we delivered an At Risk Students Pivot Grid in the demo environment which is highlighted in the Enabling Student Success in Campus Solutions - Using Pivot Grid to Track Students At-Risk white paper. (Available at My Oracle Support, Information on PeopleSoft Enterprise Campus Solutions 9.2 (Doc ID 1683816.1) This Pivot Grid demonstrates tracking at-risk students by using standard delivered Peoplesoft Campus Solutions features..  The Pivot Grid gives users the ability to quickly and easily filter student data within Campus Solutions and take action through related actions and url’s.  Pivot Grids can be created from a PS Query using the Pivot Grid Wizard as shown in the step by step description in the white paper.  The PS Query that supports this demo Pivot Grid is SPY_SA_ARS and can be reviewed in the Query Manager by users with appropriate access.  Access the Pivot Grid itself (conveniently named  SPY_SA_ARS_PG ) by navigating to the Pivot Grid Wizard.  Since it illustrates many of the features (Related Content, Facets, etc.) that make Pivot Grids so usable, you can use this demo Pivot Grid as a reference to build out your own.  It's likely that you'll have to assign the Role PivotGridAdmin (Pivot Grid Administrator) to the user id that's being used in order to look at the Pivot Grid in the Pivot Grid Wizard. One of the most important features of  Pivot Grids is that they can be deployed to your administrative users in Fluid Homepages.  You can see how this works by logging into the delivered PUM Image 3 then add the pagelet to a delivered homepage or create a new homepage by following the instructions below. Create a new homepage with At RiskStudents tile: Select Personalize Homepage item from the Actions List icon and select the Add Homepage button.  Enter a new Homepage Title such as "Tracking Student Success" and select the Add button.  Select the Add Tile button,  Search and select  ‘At Risk Students’ and select Save.  Or, to add the At Risk Students Tile and the Pivot Grid to an existing homepage: Select Personalize Homepage from the Action list and select the homepage to which you want to add the Pivot Grid. Select the Add Tile button on the Personalize Homepage page. These links and more are available by visiting the PeopleSoft Information Portal.  With CS 9.2 PUM Image 3 we continue delivering a number of Campus Solutions Fluid UI features which are highlighted in the video: CampusSolutions 9.2 Fluid UI PUM Image 3 Video Feature Overview Here is a summary of  features delivered in CS 9.2 PUM Image 3:  Campus Community Updated Profile tile, users can view the User ID with which they log onto a homepage.  My Preferences tile (which can be added to the user’s homepage) that allows access to the Campus Preferences page where users can define default values that assist user navigation, Admissions Applicant Fluid  Self Service: With CS PUM Image 3, we provide  ability for institutions to configure and deploy an Activity Guide to Accept or Decline an Offer of Admission. If a deposit is due as part of the application process, the applicant can click the Pay Admissions Deposit button on the Application Status page to make a payment. The ability to upload a file to an admissions application checklist item has also been delivered.  Student Financials Fluid Self Service:  Designed for any device, users can access:  Make a Payment (Hosted Payment): A step by step process organized by the PeopleSoft Activity Guide Framework  guides a user starting with selecting a payment method, specifying and confirming a payment amount, providing information for making an electronic payment to a third party provider, and submitting the payment. Charges Due: A simplified page that contains a “What I owe” section with charges and dates.  A convenient Make a Payment button enables users to take immediate action. Where appropriate, Pending Financial Aid is displayed to the student on this page. Account Balance: A summary view, by Term, of all outstanding charges and deposits. Student Records Fluid Self Service Setup options for Fluid Interface have been updated and reorganized to include components for viewing classes, meeting schedules, and instructor contact details. Starting on a delivered Student Homepage, from the Manage Classes tile, the user navigates to the Manage Classes landing page to access the following  functionality: Maintain Shopping Cart – The Shopping Cart fluid feature provides a streamlined approach for enrollment, deletion of classes, validation of classes, and the ability to update enrollment options. View My Classes – The class schedule display is now available for tablets and desktops and users can view and use native device email or phone features for contacting listed instructors when available and displayed. Drop Classes – This feature provides an easy and intuitive way for students to drop classes from a class schedule on multiple devices. (Note:  You are probably asking; if a user can View Classes, Maintain  a Class "Shopping Cart" and Drop Classes; what about Enrollment?  Our plan for enhancing enrollment transactions has included the use of  the PeopleSoft Search Framework using the Elasticsearch engine.  Unfortunately, Elasticsearch did not become available until October 21, 2016.  (See the PeopleSoft Technology Blog:  Elasticsearch for PeopleSoft Now Available!)  A common question from many of you has been, "How do we get to examine and demonstrate features in CS 9.2 for ourselves?"  In the CS 9.2 world, it is pretty easy to access feature demonstrations because we provide scripts and setup instructions for many delivered features associated with every CS PUM Image.   Our development teams have been focused on delivering transactions designed with the PeopleSoft Fluid UI and in PUM Image 2, delivered a number of of those features in operational areas of Campus Solutions. You can download a demo flow pdf  for a Fluid transaction by navigating to the PeopleSoft 9.2: Campus Solutions Update Image Documentation (Doc ID 2117001.2) and selecting the Demonstration Flow tab.  For CS 9.2 PUM Image 2, you see 6 scripts that you can download including:   Student Self Service pages on a mobile phone allowing a student to view their classes.  Profile pages (Personal Details, Contact Details, Addresses, Emergency Contacts) on a mobile phone, allowing students to easily review and update their details. Tasks pages (To Do List, Holds) and the ability to complete an Activity Guide.  Academic Advisement – Academic Progress Summary, Academic Progress, Course Requirement Alerts, Expected Graduation Term, Advisers.  Self Service pages on a mobile phone allowing students to view their Financial Account tile payment alert and their student account balance.  A demonstration flow illustrating how students can review their Financial Aid Award Summary and make award decisions about their Financial Aid package using mobile devices or laptops/desktops. Applicant Self Service pages on a mobile phone allowing applicants to review the status of their application and related checklist items, view decisions and decision letter, and accept or decline an offer of admission. Campus Solutions 9.2, Crystal Reporting and BI Publisher

Many of you have asked questions or posted comments regarding the transition from Crystal reports to BI Publisher reporting in Campus Solutions 9.2.    As you know, PeopleTools stopped delivering Crystal reporting after PeopleTools version 8.51.  All PeopleSoft 9.2 applications now use BI Publisher and so will Campus Solutions 9.2.   Crystal reports that are processed from run control components, their content references, menu items, pages, run control records that are related to those components, and the components themselves will no longer be available to users in the CS 9.2 codeline.  We’ve worked with our customer Product Advisory Groups to identify high priority/high value reports for conversion.  We published a KM doc, What Crystal Reports were Converted to BI Publisher in Campus Solutions 9.0? Transitioning to the PeopleSoft Fluid Navigation Framework in Campus Solutions 9.2

Campus Solutions 9.2 PeopleSoft Fluid is not just about supporting a new way of engaging with your student self service users. More broadly, it’s about how we all will navigate in PeopleSoft and Campus Solutions 9.2.  Remember: in PeopleTools 8.55 Fluid Navigation becomes the default/standard for all of us! Instead of the Classic left hand navigation, we’ll be using the Fluid Navigation Framework to navigate to both fluid and classic pages.    With the PS Fluid user interface, navigation is more seamless and intuitive for all users including your administrative users. For the casual user, instead of trying to remember how to navigate to some component, Navigation Collections and Tiles can provide a more intuitive, process based navigation paradigm.  Classic left hand navigation will still be available and “power users” can use a combination of left hand navigation, Navigation Collections and Tiles to assist with the numerous tasks they perform. We strongly encourage you to view the video Transitioning to PeopleSoft Fluid Navigation in CS 9.2 for an overview of CS 9.2 sample Navigation Collections and using fluid navigation and features.  Many of you have expressed concern about implementing a fairly significant change in navigation for your administrative users. To mitigate the impact of this change and at  the request of our customers (and in particular the HEUG’s Technical Advisory Group),  we’ve delivered a number of Navigation Collections in CS 9.2 PI2 that will serve as examples for you to consider as you plan your CS 9.2/PT 8.55 upgrade. We encourage you to review and evaluate these common and basic Navigation Collection samples which have been constructed to be copied, edited and renamed for your own navigation purposes.  Here’s a list of the sample Navigation Collections that are delivered in CS 9.2 PUM Image 2: • Student Customer Service • Campus Community Collection • Admissions Collection • Student Records Collection • Financial Aid Collection • Student Financials Collection • Academic Advising Collection • Contributor Relations Collections  Navigation Collections have been around for awhile and you may already use them in the portal or in workcenters. Campus Solutions 9.2 + PeopleTools 8.55 Upgrade and Campus Solutions 9.2 PUM Image 1 available

Two important announcements for Campus Solutions 9.2 The CS 9.2 Upgrade for PeopleTools 8.55  is available via My Oracle Support, PeopleSoft Campus Solutions Upgrade Home Page (Doc ID 2078564.2).  This MOS site contains documentation and an important video for performing the CS 9.2/PT 8.55 upgrade.  As a reminder: the process of obtaining  the upgrade template has changed with PeopleTools 8.55 so we encourage you to review Getting Started on Your PeopleSoft Upgrade (with PeopleTools 8.55) available on the MOS site Getting Started on Your PeopleSoft Upgrade (using Change Assistant) (Doc ID 739129.1).  The CS 9.2 PUM Update Image 1 is now available via the PeopleSoft Update Manager (PUM) Home Page (Doc ID 1641843.2) by selecting the Update Image Home Pages tab, choosing Campus Solutions Update Image Home Page and expanding the section CS Update Image Link.  The PeopleSoft Campus Solutions 9.2 Documentation Home Page (Doc ID 2013381.1) section on CS 9.2 Release Documentation contains links to the PeopleSoft CS 9.2 Update Image Overview (Doc ID 2116071.1), the PeopleSoft Campus Solutions Cumulative Feature Overview tool, and CS 9.2 Online Help.Starting with CS 9.2 PUM Image 1 we are delivering the first CS Fluid homepage and the first of many homepage tiles that allow you to deploy Fluid self-service to your users. In CS 9.2 PUM Image 1 we have delivered: • Student Homepage • An example homepage that you can use to build out self-service content to your students. • Profile Tile  • A new tile that can be added to the Student Homepage or any homepage that you choose to define and deploy. • The  Profile Tile has four Campus Community pages: • Personal Details – with basic person details and optional display of National ID and Photo; the Names grid allows users to view, add, edit and delete names depending on existing Type Control configuration. • Contact Details – allows users to view, add, edit and delete email addresses and phone numbers depending on Type Control configuration. • Addresses – allows users to view, add, edit and delete addresses depending on Type Control configuration. • Emergency Contacts – allows users to view, add, edit and delete their emergency contacts. There are some simple setup steps to enable the profile pages and to add the Profile tile to a homepage. Details are given under Managing the Student Homepage in the Using Self-Service Campus Personal Information chapter in PeopleSoft Campus Solutions 9.2 Online Help.  Being on Peopletools 8.55 or higher is a pre-requisite for the CS 9.2 features that are delivered with the Fluid UI.  The most significant benefit of CS 9.2 features that are delivered with the PeopleSoft Fluid UI is that they are available to users on smartphones, tablets and laptops as well as desk tops.  In future PUM images we are planning on delivering tiles for Campus Community, Recruiting and Admissions, Student Records, Academic Advisement, Student Financials, Financial Aid and Contributor Relations which provide the user with easy access to various transactions associated with these self service operational areas. In Campus Solutions 9.2 – PeopleTools 8.55, Fluid navigation is delivered as the default navigational framework.   Using navigation collections and the Tile Wizard, Fluid also allows you to quickly and easily deploy existing pages (either delivered or custom) grouped together under tiles. PeopleSoft Campus Solutions 9.2 has been released

We're pleased to announce that Campus Solutions 9.2 has been released.  Campus Solutions 9.2 is a low impact, high return upgrade that addresses the key imperatives of the modern campus: a modern user experience, flexible functionality and a product lifecycle platform that enables institutions to better manage system maintenance costs and provides more options for how users interact with your systems. Customers are encouraged to view the PeopleSoft Talk video with Mark Armstrong, Vice President for Higher Education Product Development at Oracle, for an overview of the Campus Solutions 9.2 release. CS 9.2 allows you to utilize PeopleSoft's PeopleSoft Lifecycle Management tools like PeopleSoft Update Manager  that provides a better way to manage the Campus Solutions Continuous Delivery Model so you can select and install only the features and functionality you need, when you need them.  For an overview on how the PeopleSoft Update Manager works, your encouraged to review the PeopleSoft Update Manager video.   Many of our customers have requested that we provide an ‘upgrade event’ that will enable them to focus attention and resources to getting current with capabilities and technology. We anticipate that many customers will take the opportunity to implement the innovative functionality that we've introduced in the Campus Solutions 9.0 codeline such as Evaluation Management, Advising Notes, Program Enrollment, Student Activity Guides, to name only a few.   After the initial release of CS 9.2 we’re planning on delivering CS 9.2 transactions powered by the PeopleSoft Fluid User Interface for high priority student facing pages in Student Enrollment, Academic Advising, Admissions, Financial Aid, Student Financials, Campus Community and administrative pages in Contributor Relations. In order for to deliver these new self service capabilities with minimal disruption and to give you a choice of when to implement, we'll deliver them gradually using PUM Update Images on PT 8.55 starting in 2016.  You can get started with the upgrade by accessing the PeopleSoft Campus Solutions Upgrade Home page on My Oracle Support (Doc ID 2078564.2). While the initial CS 9.2 is released on PT 8.54, we plan to deliver a re-certified upgrade path in 2016 that will allow you to get from CS 9.0 to CS 9.2 and upgrade to the anticipated PT 8.55 release as a choice. Preparing for the Campus Solutions 9.2 Release

As we continue to prepare for the Campus Solutions 9.2 release, many of you have asked us about what to anticipate when planning for the effort and impact of the upgrade.  While everyone's upgrade is different, the effort and the impact of the the technical upgrade from CS 9.0 to 9.2 should be significantly reduced, however the total upgrade effort will depend on your environment, upgrade goals and timing.  We have reduced the effort and impact of the technical upgrade from CS 9.0 to 9.2 by: Keeping tables and record structures generally unchanged. Thereby reducing the required data conversion by more than 90% compared to previous major upgrades (e.g. CS 8.9 to 9.0). Avoiding the introduction of net new functionality by rolling up new features previously delivered on CS 9.0. Forward fitting CS 9.0 bundles through July 2015 to CS 9.2. Following PeopleTools recommended technical adoption standards wherever possible. While we've made every effort to reduce the technical impact, the total upgrade effort will depend on: Your environment Your current PeopleTools version Whether you have completed the CS - HCM separation The number of customizations you have; specifically on the pages that have been updated in CS 9.2 as a result of applying a new style sheet, accessibility, and other changes. Your level of familiarity and preparedness for the PeopleSoft Upgrade Manager (PUM; see our earlier blog entry regarding preparing for selective adoption in CS 9.2) Your upgrade goals  Many customers leverage the upgrade as an opportunity to adopt available functionality that has not yet been deployed.  The CS Cumulative Feature Overview tool can be used to assess your options.  Many customers leverage the upgrade as an opportunity to reduce and/or rationalize their customizations.  The Oracle Upgrade Lab's CEMLI and PCAT tools are available to assist with this assessment and benchmark comparisons with other customers. The timing of your upgrade After the initial release of CS 9.2 we'll continue to apply maintenance to both the CS 9.0 and 9.2 codelines.  As time passes, its's likely that additional complexity will be encountered to synchronize environments to be at comparable levels because you'll need to consider an adoption plan for an increasing number of features and capabilities.  PUM technology simplifies this in that there will always be a single change package for you to use to "catch up".  But, the impacts of deployment, training, roll-out, change management, testing etc. will factor into the overall size of the effort.

Campus Solutions Additional Features Q4 2015 Pre-release Notes available

Oracle PeopleSoft Campus Solutions Additional Features Pre-release Notes for Q4 2015 are now available on My Oracle Support.  These pre-release notes provide an overview of highlighted planned features including:  Campus Community Preferred Name for Students:  Additional Self Service Pages Campus Self Service Mobile:  The  Mobile Application Framework Customization Layer Targeted Regulatory Updates to: US Financial Aid 1098-T Processing for  Tax Year 2015 (US) Victoria  Tertiary Admissions Centre (VTAC, Australia) Higher Education Statistics Agency (HESA, UK) While we highlight updates in pre-release notes, there are a number of fixes that are also targeted for an upcoming bundle.   Starting with the release of the Q1 2016 CS 9.0 bundle, instead of pre-release notes, you are encouraged to refer to the CS 9.0 Documentation Homepage (My Oracle Support Document ID 751540.1) for updates to documentation that describe regulatory updates and fixes as part of our regular maintenance process for CS 9.0.  For detailed descriptions of every item in a bundle, I recommend accessing the Campus Solutions Product Information Center (MOS Document ID 1400681.2) when the bundle is delivered.  This is a convenient location from which you can access the Campus Solutions Master Bundle Index and easily navigate to the CS 9 Bundle Master Note for any bundle which references the relevant patchset.  The patchset's Readme File or Download contains detailed descriptions of every fix contained in a given bundle. We'll continue to notify the customer community when CS 9.0 bundles are deployed.  Support for CS 9.0 continues through December 2019. Campus Solutions 9.2: Preparing for Selective Adoption

As we discuss the Campus Solutions 9.2 release, customers frequently ask us "Where do I get started learning about selective adoption and the PeopleSoft Update Manager?"  You probably already know that there's a large volume of documentation, training, videos and other collateral available via the PeopleSoft Information Portal.  In order to pull it all together and give you a suggested set of steps for your initial preparation, we created and recently published a white paper titled Preparing for Selective Adoption in Campus Solutions 9.2. This white paper is available for download on the My Oracle Support KM Doc Information on PeopleSoft Enterprise Campus Solutions 9.2 (Doc ID 1683816.1).  We tried to reference all the relevant collateral in a single document and the PeopleTools team keeps coming up with additional items all the time.  Most recently, I viewed the free training video PeopleSoft Applications 9.2 Upgrade Strategy and Best Practices which is extremely useful for understanding the details of the upgrade process. This is the first posting on the PeopleSoft Campus Solutions Blog where we'll be posting a variety of timely content that we hope well provide you with useful and relevant information on PeopleSoft Campus Solutions Applications and Technology.
